Apply now for the position of Administrative Functional Support Specialist supporting the scheduling, payment of scan models and record keeping of all internal human scanning conducted at the Headquarters Issaquah, WA Ultrasound facility of Siemens Medical Solutions, Inc. This position is critical to maintaining compliance with regulatory requirements for protection of human subjects. This position will report to Global Clinical Director-General Imaging. This is an onsite position based in our Issaquah, WA office. Your Role: * Serve as Clinical Scanning Administrator for the Issaquah site. * Manage day to day operations of Clinical Scan Suite. * Maintain database of scan models, schedule models as needed by clinical staff, prepare study form packets, provide timely quality assurance checks of completed study paperwork, and arrange for payment of models upon scanning session completion. * Responsible for record keeping and document destruction activities for all the study related paperwork. * Maintain database of personnel authorized to perform scans and ensure credentials are current. * Assist Site Principal Investigator in ensuring error-free compliance with site-specific Live Scanning Protocols. Requires timely, error-free attention to detail in a dynamic, regulated, and audited environment. * Support monitoring and regulatory audits of clinical scanning activities and compliance processes. Upload Note to File/ corrective actions as required per monitoring reports under Principal Investigator's supervision. * Submit payment requests and troubleshoot any payment related issues/complaints. * Assist the clinical team with other logistical tasks related to the live scanning of human subjects such as escorting the models and linen storage. * Manage and coordinate resources and supplies needed for the clinical scanning activities. * Assist in development and maintenance of the case report forms and data collection and reporting. * Manage clinical inventory. Cater to inventory requests and perform regular inventory checks. Your Expertise: * Possess practical knowledge of digitization possibilities for audit activities, proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook), PowerBI, and familiarity with SAP or other ERP systems is advantageous. * Work with our latest technology, necessitating your willingness to learn about new software and hardware solutions. * Fluent in English (ideally as a native language, spoken and written) since you will interact with international customers; a foreign language proficiency is a plus. Required Skills, Education and Experience for this position: * Self-motivated individual who can manage multiple tasks and priorities in an efficient manner. * Good communication and time management skills, Attention to detail, diligence, and persistence. * High School Diploma/GED, Associate Degree in Healthcare Administration, Business Management, or related field preferred. * Scheduling and Calendar Management experience. * Understanding of Patient Privacy Practices, HIPAA and GDPR. * Prior experience providing administrative support in a clinical trial, data management or Institutional Review Board or regulatory setting or in a Medical Office/Hospital setting. * Proficient with MS Office applications.
