University of North Florida Stewardship Events Coordinator in Jacksonville, Florida

Nature of Work: Under the direction of a Manager or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs. Business and Financial Operations Occupations

Typical Responsibilities: Coordinate the implementation and administration of departmental processes and/or programs. Ensure that university records are kept in accordance with federal, state and other governing regulations. Monitor, maintain, and provide ongoing analysis of finance or business operations. May act as principal financial or operational coordinator to the department. Reconcile expenditures of budgeted funds. Work collaboratively with university staff to ensure success of assigned area. May assist in the preparation and delivery of workshops and training programs. Interpret departmental policies for area of responsibility. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Required Qualifications: This position requires either (a) Masters degree from an acceptable accredited institution in a directly related area of specialization ; (b) Bachelors degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; or (c ) 6 years of direct experience.

General Description/Primary Purpose

The Stewardship Events Coordinator will support the Special Events and Stewardship team in the successful execution of special events and projects and supports fundraising and stewardship initiatives.

Job Function

The Stewardship Events Coordinator will assist the Special Events team with Presidential and donor event logistics, such as tracking RSVPs, coordinating vendors, and event communications, a few of the key responsibilities. The role requires working with various campus partners, both internal and external, to assist with event logistics.This position also involves performing secretarial and administrative support tasks, including handling sensitive and confidential information and coordinating and prioritizing administrative duties and supportingspecific donor populations.

Responsibilities include, but are not limited to: -Assisting in developing and monitoring the department's annual operating budget, which may encompass expense reports, accounts payable, and personnel data.

-Screening incoming calls with proper phone etiquette, greeting visitors, distributing office mail, scheduling appointments and meetings, maintaining the calendar, making travel arrangements, and coordinating catering for meetings.

-Arranging meetings, conferences, and social functions, which includes composing and sending invitations, determining appropriate locations, room space, and times, ordering refreshments, working with parking services, and making travel arrangements

-Maintaining inventory and purchasing office supplies, coordinating general building maintenance, and supporting physical facilities work orders

-Organization and mailing of donor reports, serving as support for search committees and the operations of the University Development unit, and handling reimbursement paperwork for travel expenses.

The Coordinator must have a valid drivers license, and own mode of transportation
