Central Maine Medical Center Student Coordinator - Family Medicine Residency in Lewiston, Maine

Central Maine Healthcare is seeking a Student Coordinator to join our team at the Family Medicine Residency office!
This is a Full Time, benefits eligible position
Position Summary:
Supports the Student Education Department administrative tasks which includes onboarding of medical and advanced placement professional students for clinical experiences.
Education and Experience:
High School Diploma
One year or more experience in relevant administrative support or project management experience
Strong computer knowledge and comfortability navigating and organizing electronic files
Understanding of MS Office suite-- specifically Outlook, Word, Excel
Understands version control and file naming conventions
Technologically adaptable to other software tools (Zoom, Smartsheets, Go-To-Meeting, Slack, Trello, Microsoft Teams, QGenda, etc.)
PC experience preferred
Any experience with database management or policies/procedures is a plus, but not required
Essential Duties:
Coordinate student rotations
Aid in communication with hospital departments and outpatient practices on incoming students requesting rotations – determine department availability
Maintain schedule blocks for various departments and practices so Education always has a handle on how many students are in place in any given hospital area
Communicate with students on acceptance and denials for requested rotations; answer any questions the students have about rotation requirements.
Schedule students for clinical experiences
Communicate initial reservation
Confirm reservations up to 4 weeks in advance
Send 2-week reminder of incoming students to departments
Set students up for system clearance and help with facilitation of onboarding
Collect relevant clearance documentation from academic institutions
Collect relevant clearance documentation from students
Request computer network clearance and relevant training
Request badge and relevant access points in hospital
Communicate with students the final details of their clinical experience and prepare them for their first day onsite.
Badge receipt / parking instructions
Cerner credentials / scheduled training details
Email introduction to preceptor as hand-off
Orientation duties for the Residency
Tour Residency building & clinic
Create schedule, review & set expectations for professionalism
Warm hand-off to preceptor
Distribute and collect student evaluations and aid in the evaluation process
Create composite evaluations for Residency faculty and submit to academic institutions as appropriate
Aid students in contacting preceptors to collect evaluations as requested.
Assist in Preceptor payment process
Collect time sheets and verify student rotations
Prepare check requests or payroll documents for manager sign off
Submit payroll authorizations to the chain of leadership for preceptor reimbursement
Schedule and coordinate, as well as attend departmental/cross-department meetings
Take minutes at meetings
Support projects as required of a core clinical site
Aid in documentation of department procedures and workflows
Opens, reviews, and acts on incoming mail as appropriate
Front-office administrative duties; reception area
Attend school-specific meetings and events on regular and intermittently scheduled bases
Ensure appropriate faculty are registered for and attend necessary school-specific meetings
Liaise with education department to review schedules for conflicts and communicate necessary adjustments as they arise
Maintain updated workflows and documentation for student experiences, including for scheduling and coordinating student rotations, departmental contact lists, policies, etc.
Communicate didactic schedule and monitor attendance of students
Monitor student absences
Monitor evaluations from all departments to ensure timely submission
Assist with maintenance, preparation, and submission of faculty academic appointments
Distribute examination codes for end-of-rotation exams (as applicable)
Work closely with undergraduate medical education faculty
At times, assist with coordination of educational conferences and events
Act as initial point of contact for students during their rotations
Manage student housing
Support student wellbeing
Maintaining and updating medical student section(s) on department website
