Job Description
The Facilities Supervisor position is responsible for all aspects of daily facility operations to maintain brick and mortar and its critical equipment. This position supports the business needs of Site Management while providing a comfortable and safe work environment for employees.
Essential Functions/Core Responsibilities
Facility Management:
Maintain and oversee the overall operation of company facilities.
Coordinate cleaning, maintenance, and repair of facilities.
Ensure that facilities comply with safety and environmental regulations.
Managing accomodation and Car Fleet
Critical Equipment:
Supervise and maintain critical equipment such as UPS (Uninterruptible Power Supply) systems, generators, and PACUS (Precision Air Conditioning Units).
Schedule preventive and corrective maintenance to ensure the availability of this equipment.
Coordinate functional and backup tests for critical equipment.
Supplier Management:
Collaborate with service providers and contractors for the maintenance and repair of critical equipment and systems.
Negotiate contracts and service agreements to ensure efficient and cost-effective support.
Budget and Finance:
Manage the budget allocated for Facility Management and projects.
Track and control costs to ensure spending efficiency.
Risk Management:
Identify and assess risks associated with facilities and critical equipment.
Develop contingency plans to address emergency situations.
Regional Coordination :
- Collaborate with teams and departments from other locations on projects and problem-solving.
Reports and Documentation:
Maintain accurate records of maintenance, inspections, and incidents.
Generate periodic reports for senior management on the status of facilities and critical equipment.
Continuous Improvement:
Identify opportunities for improvement in operational efficiency and asset management.
Implement solutions and best practices to optimize processes.
Regulatory Compliance:
- Ensure that all operations comply with local and national regulations.
Audits and Evaluations:
Conduct regular audits of facilities and critical systems to ensure compliance with standards and regulations.
Prepare detailed audit reports with findings and recommendations.
Collaborate with internal and external teams to address and correct issues identified during audits.
Transportation and Logistics:
- Collaborate with the transportation team to ensure efficiency in the delivery of critical supplies and equipment.
Support in Physical Security Processes:
Develop and implement physical security measures to protect facilities and critical assets.
Implement access systems, security cameras, and access control measures.
Coordinate emergency response exercises and training for security personnel.
EHS (Environment, Health, and Safety):
- Participate in incident and accident investigations and develop corrective action plans.
Candidate Profile
Bachelor’s degree in Facilities Management or related fields
Experience in building maintenance and/or project execution.
Focused on budget execution in a timely manner.
English level B2 minimum
Proficient in Microsoft Applications including Excel and Outlook
Career Level Description
Receives assignments in tasks-oriented terms and supervises subordinates to set priorities and complete assignments. Coordinates and supervises the daily activities of facilities’ team members. In charge of handling single and medium-sized line of business. Decisions are guided by policies, procedures and business plan; receives guidance and oversight from manager. Drives direct reports to achieve set metrics and business goals through coaching, mentoring and providing regular feedback. Typically does not spend more than 20% of time performing the work supervised. Handles escalated issues. Supervises non-exempt employees who generally perform either a single task or multiple, but closely related tasks.
