Florida Sheriffs Youth Ranches Receptionist - Main Office in Live Oak, Florida
SUMMARY The position of Receptionist is instrumental in setting the impression of the Youth Ranches to donors, visitors, and general public. The Receptionist processes internal and external telephone calls and greets visitors. In addition, clerical duties are performed as time permits. The Receptionist is directly responsible to the Director of Business Services. This position is eligible for overtime pay.
ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties and responsibilities are given as examples of the various types of work performed in this position. Other duties and responsibilities may be assigned.
- Exhibits a strong focus toward customer service/delight on a daily basis.
- Responds to and handles all calls quickly and efficiently, and records messages as appropriate.
- Greets and welcomes visitors with the utmost courtesy and tact; ensures they sign the guest book; determines the purpose of their visit and assists as needed.
- Maintains appropriate logs on staff availability and location.
- Ensures the lobby and receptionist areas are clean and free of clutter and ensures current informational materials are available to visitors.
- Ensures the outgoing mailroom is stocked with supplies and mail box names are current.
- Maintains a current manual of procedures and instructions on the functions of the Receptionist position and switchboard, and for the orientation and training of other staff that provide relief coverage.
- Maintains a list of current staffs home telephone numbers for emergencies, and maintains and distributes current agency telephone extension listings.
- Coordinates shipping of packages through United Parcel Service or FedEx.
- Assists with various duties: Prepare and voucher invoices as assigned Maintain vehicle logs and vehicle maintenance logs Maintain fleet reports
- Coordinates the sale of meal tickets and maintains the meal ticket roster and petty cash.
- Performs clerical and secretarial duties for various departments as time permits.
EDUCATION AND EXPERIENCE REQUIREMENTS The person filling this position must have a high school diploma and at least one year of clerical experience. Experience as a switchboard operator or receptionist is preferred.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES To perform this job successfully, an individual must be able to perform each area of responsibility satisfactorily. The requirements listed are representative of the knowledge, skills, and/or abilities required.
- Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedural manuals; ability to write routine reports and correspondence; ability to speak effectively with groups.
- Must have the ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions; capability to deal with problems involving a few concrete variables in standardized situations.
- Must have analytical, math, and grammar skills sufficient to meet minimum standards of the Youth Ranches Skills Test.
- Must have a working knowledge of general office procedures.
- Must have the ability to learn the many staff and their responsibilities in order to accurately and efficiently refer telephone calls and guests.
- Must have the ability to maintain composure and function effectively during periods of high activity.
- Must possess a good telephone voice and a natural hospitable personality.
- Must be an outgoing person with the ability to relate to and converse with many different types of people.
- Must have a valid Florida Driver License and be able to maintain a safe driving record consistent with agency policy.
PHYSICAL REQUIREMENTS The physical requirements described are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this position, the employee is regularly reaching with hands and arms. The employee is extensively sitting, talking and listening. The employee is occasionally required to stand and walk. The employee is required to regularly lift up to 10 pounds and occasionally lift up to 50 pounds. Specific vision requirements for this position include close and distance vision.
WORKING CONDITIONS Work is generally performed in an office environment and the noise level of the work environment is usually moderate in nature.
BASE SALARY $15.00 Hourly.
