Study Group Student Experience Operations Coordinator in Liverpool, United Kingdom

Contract Type: Part-time (22,5 hours per week), Permanent 

Location: Liverpool, Liverpool John Moores International Study Centre 

Salary: Up to £14,040 per annum 

Student Experience Operations Coordinator will play a vital role in the running of LJMU International Study Centre (LJMU ISC). The successful candidate will work closely with the academic team, management, and students as part of the ISC’s Student Experience Team (SET). This role is ideal for an organised person with strong communication skills, who can successfully support the needs of students and staff alike. The environment is fast paced and changeable, therefore a resilient and flexible approach to working is required. A growth mindset will also be advantageous to develop within the role.

ABOUT THE ROLE  

  • To coordinate all aspects of summative assessment and reassessment.

  • To create and release assessment timetables to students and staff.

  • To order assessment papers via the University Printing Service.

  • To keep assessment papers secure; both before and after the assessment has taken place.

  • To prepare seating plans and assessment packs in preparation for the assessment period.

  • To send out generic notification to students after each assessment period with details relating to Personal Circumstances (PC).

  • To send all PC cases on to the Curriculum Leaders/Head of Curriculum and Quality for approval and sending on to LJMU for processing.

  • To liaise with the Welfare Team regarding special mitigation applications and refer disclosures to welfare.

  • To produce data spreadsheets for assessment boards.

  • To provide assessment results spreadsheets to LJMU as per the agreed assessment schedule.

  • To coordinate arrangements for overseas examinations (when required).

  • To liaise with the academic team on matters of assessment processes related to the role of examinations officer.

  • To log where assessed work is stored and store in accordance to regulations.

  • To liaise with the academic team on progression related matters e.g. degree choice changes, general student queries on progression and assessment matters (in specific relation to the role of examinations officer).

  • To liaise with LJMU international admissions team and the International Recruitment and Conversion Officer (IRCO).

  • To be aware of updates made to the matrix and use the matrix for guiding students in matters relating to degree choices.

  • To provide LJMU colleagues with student details upon request e.g. student emails.

  • To liaise with the IRCO and Study Group’s internal retention team to providing support to students on matters of retention.

  • To contact students to obtain information relevant to their progression e.g. IELTS results for discretionary cases.

  • To promote and safeguard the welfare of students, with particular regard for under 18’s.

  • To assist with activities in relation to UKVI and GDPR compliance requirements.

  • To ensure VR pages that fall within your responsibility are kept up to date and are maintained.

  • To undertake occasionally and in line with ISC business needs shared responsibility and training in areas such as fire safety and first aid.

  • To foster productive relationships with the student body and staff.

  • To provide support with and help organise conversion, transition and social activity, and attend events as required.

  • Level 3 qualification (Desirable)

  • Experience of working in administration (Essential)

  • Experience of working with staff and students in an international education environment (Desirable)

  • Excellent customer service skills (Essential)

  • Good knowledge of Microsoft Office, in particular Word, Excel and Outlook skills (Essential)

  • Effective verbal and written communication skills (Essential

  • Good time management skills (Essential)

  • Excellent organisational skills and the ability to multitask (Essential)

  • High level of accuracy in written English (Essential)

  • Knowledge of student database systems (Desirable)
