Our client is seeking for Senior Administrative Assistant.

Job Title: Senior Administrative Assistant

Location: Mahwah, NJ

Pay Range: $25.66 per hour. Weekly pay.

Shift: 1st shift 8am to 5pm Monday to Friday

Job Summary:

The Senior Administrative Assistant will provide high-level administrative support, handling complex and confidential functions. This role involves coordinating and supporting management-level individuals, such as Managers, Directors, and Vice Presidents. The ideal candidate will be responsible for managing sensitive information, ensuring smooth departmental operations, and overseeing various administrative tasks and projects.

Key Responsibilities:

  • Manage visitor and caller interactions, including screening and directing inquiries.

  • Provide guidance and leadership to lower-level clerical staff.

  • Serve as the primary contact for the division internally and externally.

  • Manage calendars, schedule meetings, and arrange travel accommodations.

  • Coordinate and plan meetings, conferences, and events, including catering and technical needs.

  • Oversee inventory, order office supplies, and request service repairs.

  • Handle departmental mail and correspondence.

  • Create reports, spreadsheets, and maintain databases.

  • Assist with budget reconciliation and managing departmental expenses.

  • Supervise office operations and help implement changes as needed.

  • Address complex inquiries requiring interpretation of policies and procedures.

Required Qualifications:

  • High School diploma or equivalent, with 4+ years of administrative experience (Business Administration degree preferred).

  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Access).

  • Excellent organizational, time management, and communication skills.

  • Strong attention to detail and the ability to multi-task effectively.

  • Ability to work independently, exercising discretion and sound judgment in handling confidential matters.

  • Ability to adapt to changing priorities and work in a fast-paced environment.

Desired Skills:

  • Strong interpersonal skills and ability to work with senior management.

  • Professional telephone etiquette and business behavior.

  • Experience with building space management applications and related administrative duties.

  • Comfortable with tasks such as managing shared inboxes, generating purchase orders, and managing facilities equipment.
