The Executive Assistant will support the VP, Quality & Operational Excellence and be responsible for a broad range of advanced administrative support and coordinator duties. This position will require initiative, judgment, and independent decision-making skills, along with the ability to handle confidential matters. In addition to being primary support for the VP leader, this individual will provide ongoing support to the Quality & Operational Excellence Leadership team.

ESSENTIAL DUTIES AND JOB RESPONSIBILITIES:

  • Provide seamless coverage, support, and execution of responsibilities for VP, Quality & Operational Excellence and Team and become familiar the teams functions in order to communicate on them effectively and accurately.

  • Organize and manage the VP's calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize and reschedule meetings to accommodate the VP's changing demands. Coordinate meeting logistics, such as room bookings, video conferencing, and attendee coordination. Help coordinate cross-functional meetings. Assist team with scheduling as needed.

  • Serve as a liaison between the VP and their team, clients, partners, or other stakeholders. Draft, proofread, and send emails and other communications on behalf of the VP.

  • Plan, coordinate, and book domestic and international travel for the VP and occasionally for their team members.

  • Organize and prepare materials for meetings, including agendas, presentations, and reports. Take notes during meetings, document action items, and ensure follow-up on key decisions. Coordinate logistics for events, conferences, and team offsites (e.g., booking venues, catering, coordinating guest lists).

  • Maintain and organize the VP's files, ensuring easy access to key documents. Prepare, review, and manage presentations for internal meetings. Handle confidential information with discretion.

  • Assist in the coordination and tracking of ongoing projects, ensuring deadlines are met and progress is communicated. Help with creating project timelines, tasks, and resources for VP-driven initiatives. Serve as a point of contact between the VP and team members for project-related updates.

  • Monitor and manage the VP's expenses and mileage, including preparing expense reports. Approve team spending ensuring compliance with company policy.

  • Facilitate communication between the VP’s team and other departments or teams within the organization. Organize team-building activities or offsite events to foster collaboration.

  • Take on special projects or initiatives as directed by the VP, ranging from internal programs to external presentations. Coordinate projects on behalf of the VP that require oversight and attention to detail.

  • Handle day-to-day office tasks like ordering supplies for the VP and team.

  • Strong collaboration with Executive Administrative team, providing coverage and partnering on project work as needed.

  • Miscellaneous duties as assigned.

SKILLS, KNOWLEDGE AND EDUCATION

  • Bachelor’s degree and/or equivalent combination of education and experience preferred

  • 5+ years of administrative assistant experience; recent experience working directly for an Executive strongly preferred

  • Advanced proficiency with Microsoft Office products, especially Teams, PowerPoint, Excel and Outlook

  • Thrives in a fast-paced environment with multiple project assignments

  • Ability to perform duties in high-stress environment, with effective prioritization and execution under pressure

  • Exhibits good judgment and discretion in handling confidential information

  • Possesses strong organizational skills

  • Excellent verbal, written, and interpersonal communication skills

  • Detail oriented with excellent grammar and proofreading skills

  • Ability to work independently with minimum supervision

  • Ability to work extended hours or non-traditional hours when necessary

  • Experience with worldwide travel preferred

The pay range for Minnesota is $82,000 to $108,000 per year. Individual salaries are determined through a wide variety of factors including but not limited to education, experience, knowledge, skills, and geography.
