Job Description

*Hybrid. 3x per week onsite in Lake County, IL

This role is to develop and maintain strong relationships with key External Experts (EEs) and act as a single point of contact for logistical needs for EEs who engage in group and individual activities with Abbvie. This position is responsible for managing the complexities of EE engagements when participating in Abbvie Meetings. The HCP Logistics Manager is to assure the EEs experience from preplanning, during planning, and post event was compliant, executed well and professional. This role works with various cross functional supporting areas such as compliance teams, engagement specialists, meeting planners and logistical meeting vendors, & cross-functional business owners. This role is to ensure that the EEs know who they need to work with at Abbvie without interacting with multiple internal processes and people.

Responsibilities:

List up to 10 main responsibilities for the job. Include information about the accountability and scope.

•Ensure effective, efficient and compliant centralized management of logistical activities involving EEs and providing guidance and recommendations when an EE is attending meetings hosted by AbbVie

•Maintain tracker and dashboards to be able to generate useful data analytics and reporting to business units (meetings owners, leaders, etc.). Track activities involving cross-divisional EE activities

•Provide updates and feedback on EE to business owners and project managers during planning process and post event. Accountable for assuring overall global governance is met prior to EE engagements.

•Consistently demonstrate adherence to compliance requirements and looks for ways to improve logistical compliance effectiveness by identifying process inconsistencies and risks

•Collaborate with Business Services Group (BSG) Engagement Specialist and OEC on requests for logistical compliance approvals and deviations prior to any engagement with the EE. Participate in relevant meetings with activity owners, meeting planners, and suppliers

•Accountable for escalating issues, as appropriate. Identify process gaps and provide feedback to ensure continuous improvement; must be able to manage multiple priorities and meet deadlines

•Strong interpersonal and communication skills but must also be able to work independently

•Ability to demonstrate flexibility and adapt to rapidly changing business needs, including handling other tasks & projects as assigned. and to handle other tasks as assigned

•Customer service focused expert who is dedicated to providing a flawless experience for the EEs

•Travel required to manage all EE logistical components

Qualifications

•Bachelor’s Degree in Business preferred. Equivalent successful industry experience (6 years full time planning with EEs) can be considered

•Must have a breadth of experience to establish and maintain credibility across functions, with supplier base and with senior management

•Proficient in Microsoft Office applications

•Preferred: Proactive and consultative customer service, strong organizational and interpersonal skills, attention to detail, strong verbal and written communication skills, positive attitude, problem solving skills (anticipating, initiating and resolving issues)

•Preferred: Ability to identify HCP and Business needs and respond creatively listening to information, asking questions, applying knowledge and determining solutions

•Preferred: Knowledge and utilization of AbbVie’s OPPF Guidelines and iComply tool or equivalent compliance exposure

•Preferred: Ability to work well under pressure and adapt to ever-changing scenarios, ability to influence without authority, ability to initiate new ideas, flexibility in day-to-day schedules in order to meet travel requirements

•Must be able to travel internationally (all travel 75%) and work on weekends when required

•Requires flexibility and acceptance to working late evenings, early mornings, and physically be able to be on feet and stand for multiple hours
