JOB DESCRIPTION
ROLES/RESPONSIBILITIES:
This role will be specifically supporting the Senior Program Specialist and Senior Director , Learning & Development, Area Learning Managers as well as providing support to the property learning professionals.
Understands, prepares & follow up all program logistics related to Core Management Programs and any additional training programs assigned. Will provide pre & post support for in-person programs as well as Virtual program delivery.
Understands, prepares and assists in producing virtual session supporting the Learning team in their delivery
Understands and prepares reports and analysis of Learning compliance reports supporting properties and regional needs.
Coordinates follow up calls with DHR’s and Learning Professionals
To maintain an inventory of additional materials/participant manuals/certificates that may be needed for last minute changes.
Tabulate & prepare program evaluation and pre-post-tests accordingly to be reported quarterly and/or as requested by the RDT.
Provide support in assessing property-training needs for the region.
Maintain a record of all invoices/expenses related to Core Trainings.
Coordinates & assists on Program enrollments.
Ordering of program materials including providing facilitators of videos/guides/presentations needed for each program.
Shipping and receiving of program materials. Following up on orders assuring materials arrive on time to location. Address any custom challenges and provide support to the hotel in the process.
Before & after each program, the coordinator will provide guidance to the DHR’s, Learning Professionals and DOF’s for the expenses covered by the Training fee or cover by the host hotel.
Receives IMTN invoices to be revised and approved for adequate reimbursement. Keeps record of all data for budget comparison.
Compiles number of participants per program. Keeps and maintains monthly Learning Tracking System through the DLZ platform.
Provides support to the new learning members conducting the Learning Overview as per the Onboarding process.
Coordinates program translations, as needed based on regional needs
(English/Spanish/Portuguese).
Administers General/ Administrative/ Miscellaneous department expenses.
Understands & provides support in managing CALA Training budget
Ensuring strategies are followed.
Sends on a timely basis program incentive awards to IMTN.
Understands & assists the Senior Program Specialist and Senior Director, in any

Maintains continuous communication with hotels in the region.
Maintains an updated CALA Training Roster /IMTN roster.
Provides support to new Training Managers and/or coordinators as needed.
Prepares and provides reports related to m Hub/ learning as requested.
GENERAL REQUIREMENTS:
Communication skills verbal and written – English & Spanish
Portuguese (desired but not required)
Overall knowledge in Power point, Excel, Microsoft word and data input systems
Such as people soft.
Knowledge of training programs such as Orientation, Essential Skills, and CALA Core Leadership Programs
Training experience preferred
General knowledge of administrative duties
Organizational skills
