SUMMARY OF THE JOB :
Reports to the Chief Information Officer and provides administrative support to the CIO and their executive direct reports including the SVP of Business Applications/Deposit Operations & SVP of Network Services.
ESSENTIAL FUNCTIONS:
Performs administrative and duties for the CIO and their direct reports including preparation and processing of internal and external correspondence, scheduling of appointments and meetings, planning travel arrangements, screening and routing telephone calls and inquiries to proper person/area, and providing meeting and conference support.
Financial responsibilities including Requisition & PO creation on behalf of CIO Organization.
Communicates information and instructions on behalf of the CIO.
Supports CIO Group team members as needed.
Oversees and coordinates critical items for CIO’s attention, and delegates matters to others for action. Prepares slides and graphs using presentation software.
Coordinates and attends various meetings; prepares minutes and supporting documentation.
Maintains effective communications with employees, vendors, and clients of the Bank to facilitate information exchange and problem resolution.
Other related duties as may be required.
PRINCIPAL ACCOUNTABILITIES
Administrative - Provides professional administrative services insuring confidentiality of corporate matters.
Customer Service – Insure that customers, clients, and employees receive quality customer service in response to inquiries and problem resolution.
Meetings/Special Events - Plans and coordinates meetings and special events in an organized and efficient manner.
Records and Files - Maintains accurate and current corporate records and files.
Compliance - Adheres to applicable federal and state regulations and Bank policies and procedures, including OFAC, BSA, PATRIOT Act, Privacy, and consumer protection regulations pertaining to incumbent’s business lines.
Completes required training (on-line and in-person) by due dates.
MINIMUM REQUIREMENTS:
Education:Associate or Bachelor’s degree in Business Administration or related field preferred, or equivalent work experience.
Experience:A minimum five years of experience supporting C-Level Executives in the banking industry is preferable.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
Expert level written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Strong emotional intelligence
Highly resourceful team-player, with the ability to also be extremely effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
Forward looking thinker, who actively seeks opportunities and proposes solutions
Minimum of five years’ experience supporting C-Level Executives, preferably in the banking industry
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
PHYSICAL REQUIREMENTS:
General office equipment.
Prolonged sitting.
