BankFinancial Executive Administrative Assistant [Full-Time] in Midvale, Utah
Job Descriptions:
Summary: Provides administrative duties for the President Equipment Finance. In performance of duties, must demonstrate the ability to handle sensitive corporate information with discretion and confidentiality. Must also exercise discretion, sound judgement and independent thinking in performance of duties and responsibilities. Attention to detail is a must.
Essential Duties and Responsibilities
Coordinates and manages calendars for Management and Lease Bankers, ensuring meetings, deadlines, and priorities are effectively scheduled and executed.
Prepares materials and reports for meetings, takes detailed notes, and tracks follow-up items to ensure timely completion of action items.
Maintains and update the department’s CRM system (currently PipeDrive) with a high level of accuracy to track deals and maintains visibility on all opportunities.
Downloads, prepares, and updates weekly pipeline reports for management review and department meetings.
Oversees the management of office equipment, supplies, and related administrative needs.
Coordinates with Facilities teams to manage office space and building maintenance needs (remote support for Utah location).
Prepares, tracks, and manages expense reports for the department.
Acts as a liaison between Credit Analysts and Lease Bankers to facilitate a smooth workflow on deals. Follows up with Lease Bankers to ensure all required information is submitted for complete credit review packages.
Partners with the Marketing team to support the planning and execution of conferences and industry events.
Manages budget requests and tracking for BFEF conventions and customer visits.
Collaborates with Human Resources to support the onboarding process for new employees.
Creates and maintains organized and accurate electronic files for the department.
Proactively engages with internal departments and external partners to address inquiries and ensure timely follow-up and resolution of issues.
Travel
The associate may be required to travel locally from the Bank office as needed. The associate may be eligible for reimbursement of mileage according to the Bank’s Accounting Policy, Exhibit G: Travel and Miscellaneous Expense Reimbursement Policy if requirements are met.

Required Experience:
Education/Experience
- Bachelor’s degree preferred with 2-5 years related experience or equivalent combination of education and experience preferred.
Licenses/Certificates/Registration
Notary preferred
Signature Guarantee Certification for stock purchases
Computer Skills
Microsoft Word, Excel, PowerPoint, Access, Outlook e-mail, Edge
Keyboarding proficiency at a minimum of 65 wpm.
Ability to use various software applications Google, SharePoint, Directors Desk, Interact, etc.
