Job Summary

The Prospect Management Analyst ( PMA ) conducts research and prospect management for potential donors in areas such as special projects, wealth validation, news alert monitoring, research support, publication review, and database management to advance team goals and objectives.

The PMA is responsible for managing the prospect management program within UWM’s University Advancement Office to assist with fundraising and engagement priorities. The PMA supports all University Advancement fundraising team members to optimize fundraisers’ portfolios, impacting their effectiveness and productivity. The PMA assists in the development of portfolio management best practices and policies that serve the Advancement team as well as UWM campus fundraising partners. The PMA will be the subject matter expert for prospect management industry standards for teams that fundraise for higher education.

The PMA must be exceptionally comfortable using software solutions to track, record, and analyze prospects in the customer relationship management database ( CRM ). The PMA will partner with the University Advancement researcher to advise UA staff with accurate and comprehensive data that helps build strategies for work with prospects and donors. The PMA will support management of prospect relationship tracking in the CRM and be a resource for all development team members.

The PMA must have strong communication skills and will collaborate with gift officers to understand goals and initiatives and how to support portfolio construction to create a fluid and dynamic prospect pipeline and meet targets. The PMA will partner with the Assistant Vice Chancellor of Development and Senior Directors to keep prospect managers on track and informed of their progress to goals. The PMA will support database tracking of all managed prospects and create pools of prospects for future assignment and engagement. The PMA will also support central staff functions of stewardship, planned giving, and leadership annual giving, as an expert on prospects in the CRM and identify rated prospects to be targeted. The PMA will serve as a partner with UA research in understanding and educating the team on wealth ratings and how they impact portfolios.

The PMA must demonstrate independent, proactive, creative and strategic thinking when approaching their work. They will have strong communication skills and be deeply integrated in database management. The PMA will be a key member of the central advancement services staff in the University Advancement Office and must be able to manage multiple, simultaneous assignments, and meet deadlines without compromising quality in a service-oriented environment.

Responsibilities Include:

  • Management of the Portfolio Management Program including, understand the portfolio needs of each frontline fundraiser, track prospect movement from centrally managed pools to individual fundraiser portfolios, and identify all potential prospects and help determine the portfolio or prospect pool for which they are best suited.

  • Understand and analyze prospect data including, oversight of prospect data in alumni and donor database including but not limited to activity reports, proposals, opportunities, and prospect tracking information and guiding the team by assessing the philanthropic tendencies, giving propensity, financial capacity and connections to the institution.

  • Collaborate with both Advancement and UWM Foundation staff through conducting regular meetings with gift officers to review portfolios and progress to goals, serve as a primary contact between the Prospect Research and all frontline staff, and partner with the UWM Foundation IT team to fully understand and implement database solutions to manage and track prospect management functions in the data ecosystem.

  • Develop business practices and support policy creation with University Advancement leadership based on industry standards and trends for prospect management.

    Minimum Qualifications

  • Bachelor’s degree

  • Experience working in a client service profession such as advancement, development, or non-profit management

  • Excellent verbal and written communication skills

  • Proficiency with computers and standard applications (MS Office, Adobe, etc.)

    Preferred Qualifications

  • Direct experience working in higher education fundraising

  • Experience with customer relationship management ( CRM ) software applications and/or platforms such as event management or marketing solutions

  • Experience managing meetings and/or bringing colleagues, constituents, or clients together to track progress towards goals

  • Experience with conceiving and managing projects from inception to delivery, including tracking and reporting results

  • Experience working in large, complex institutions such as universities, hospitals, or government agencies

    Target Salary Range $65,000 - $75,000
