Robert Half Executive Assistant in Missouri City, Texas

Description We are offering a contract to hire employment opportunity for an Executive Assistant in Missouri City, Texas. This role is within the public administration industry and will involve a range of administrative tasks, including managing schedules, coordinating meetings, and overseeing communication plans. The ideal candidate should have skills in Calendar Management, Email Correspondence, Purchase Orders, Travel Arrangements, and Annual Budget.

Responsibilities:

• Managing schedules for members of the Leadership Team and arranging meetings as necessary.

• Overseeing City Manager and Assistant City Manager Briefings, tracking communication plans, and preparing status reports.

• Ensuring all deadlines and schedules are met and prioritizing work accordingly.

• Facilitating communication between the Assistant City Manager’s office, City Manager, Mayor, and City Council with staff.

• Responding to citizen concerns and requests in a timely manner and preparing written correspondence.

• Coordinating departmental updates for the Internet and Intranet.

• Assisting in coordinating budget preparation and maintaining annual budget documentation.

• Preparing purchase orders and ensuring spending remains within budget.

• Answering phones and providing backup phone support.

• Maintaining a book of departmental policies and procedures.

• Organizing and coordinating special projects as required. Requirements • Proficient in managing executive calendars, including the scheduling and coordination of meetings, appointments, and travel.

• Ability to handle professional email correspondence, including drafting, editing, and responding to emails on behalf of executives.

• Experience in preparing and managing purchase orders, ensuring timely and efficient processing.

• Skilled in arranging domestic and international travel, including flight booking, accommodation, and itinerary planning.

• Familiarity with preparing and managing annual budgets, tracking expenses, and providing financial reports to executives.

• Excellent organizational and multitasking abilities.

• Strong written and verbal communication skills.

• Ability to work independently and handle confidential information with discretion.

• Proficiency with Microsoft Office Suite, particularly Excel, Word, and PowerPoint.

• Prior experience in a similar role or administrative position is preferred.

• Ability to adapt to changing priorities and maintain a high level of professionalism under pressure.

• Strong problem-solving skills and the ability to think proactively.

• Excellent attention to detail and high level of accuracy in all tasks.
