Posting Summary
Rutgers, The State University of New Jersey, is seeking a Scheduling Coordinator for the department of Surgery at the Robert Wood Johnson Medical School.The main purpose of the Scheduling Coordinator position will be to coordinate all aspects of the Department of Head and Neck Surgery & Communication Sciences surgical scheduling and financial matters including procedure scheduling, authorization, patient financial responsibility, cosmetic estimates, and monitoring insurance reimbursement for accuracy. The Scheduling Coordinator oversees surgical scheduling and ensures that all office visits, surgeries, and outpatient procedures are scheduled and authorized in an organized, efficient, and timely manner. This position requires interaction with patients, insurance companies, and other Rutgers/RWJ Barnabas departments, and competency in providing care to patients in all age categories.

Among the key duties of this position are the following:
  • Liaison to the RWJUH OR and ambulatory surgical staff to ensure that all instruments, equipment, and appropriate staff/technicians are available. Coordinates surgical schedules for physicians and physician assistants to ensure appropriate use of block time and maximum productivity.
  • Coordinates surgical scheduling team and communicates any issues to Program Administrator. Confirms surgical cases are booked appropriately and any required authorization and/or payment is correct and obtained beforehand. Ensures that all authorizations are documented in relevant systems and that all information entered complies with patients' insurances. Assists with scheduling surgical cases, outpatient procedures, and pre-certification as needed.
  • Develops processes and procedures for efficient workflow. Creates and updates surgical scheduling/payment forms and protocols. Maintains surgical procedure spreadsheet.
  • Orients and trains new surgical scheduling staff. Provides feedback to Administrator for evaluations.
  • Manages ED and post-call patient follow-up. Investigates coverage for uninsured, motor vehicle accident, and work comp patients. Communicates findings to RWJBarnabas Patient Access team. Assists patients that are uninsured or underinsured in obtaining/completing applications for public benefits, charity care, or other financial sponsorship.

Qualifications

Minimum Education and Experience
  • Bachelor's degree plus two (2) years' experience in a university setting or large business office with responsibility for surgical scheduling, case review, and analysis and evaluation of financial, organizational, and/or administrative practices.
  • Equivalent education, experience, and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be detail oriented, hold self accountable to high standards of professional excellence, and be able to maximize resources on a continued basis.
  • Must have excellent interpersonal/human relations skills, excellent verbal and written communication skills, and the ability to maintain records and files.
  • Knowledge of spreadsheet applications and MS Office.
  • Must be proficient in computer applications as required by the department.
