Robert Half Executive Assistant in New Haven, Connecticut
Description We are offering a contract for an Executive Assistant position in the education sector. Based in New Haven, Connecticut, the Executive Assistant will play a crucial role in ensuring the smooth operation of the leadership team, providing high-level administrative support, and facilitating effective communication within the school system and with external stakeholders.
Responsibilities:
• Efficient management and maintenance of the Superintendent’s calendar, which includes scheduling meetings, appointments, and events.
• Handling travel coordination, including transportation, accommodations, and itineraries.
• Preparation, editing, and distribution of correspondence, reports, and presentations on behalf of the leadership team.
• Serving as the primary point of contact for internal and external stakeholders, addressing inquiries and directing them appropriately.
• Assisting with the preparation and distribution of board meeting materials, agendas, and minutes, as well as coordinating logistics for board meetings.
• Monitoring and managing administrative tasks to support school operations and leadership initiatives.
• Development and maintenance of organized filing systems for records, documents, and correspondence.
• Overseeing special projects and initiatives, ensuring timelines and goals are met.
• Acting as a liaison between the Superintendent/CEO and school staff, parents, and community members.
• Facilitating effective communication by drafting, proofreading, and disseminating memos and announcements.
• Collaborating with cross-functional teams to support school events, initiatives, and priorities.
• Handling sensitive and confidential information with the utmost discretion, upholding and modelling the values and mission of the school system in all interactions. Requirements • Minimum of 3 years experience in a similar role within the Education industry
• Proficient in Calendar Management including scheduling appointments and coordinating daily schedules
• Excellent Communication skills, both written and verbal
• Experienced in managing Conference Calls and Correspondence
• Ability to Coordinate Schedules efficiently
• Proficiency in Arranging Travel, including booking and coordinating travel arrangements
• Possess Basic Office Skills
• Experienced in coordinating and scheduling Meetings
• Ability to Perform Special Projects as required
• Strong Customer Service skills
• Proficient in using Office Suites
