Posting Summary
Rutgers, The State University of New Jersey is seeking a Management Assistant within the Orthodontics Department at the Rutgers School of Dental Medicine (RSDM).The Management Assistant will provide general administrative and management for the Department of Orthodontics. Coordinate office operations and serves as liaison with various units and administrative offices throughout the University.Among the key duties of this position are the following:
  • Provide confidential office support to the Senior Management Assistant for the Department of Orthodontics.
  • Work closely with Predoctoral Program Director and Co-Director with coordinating assignments for predoctoral clinic rotation. Serve as liaison with predoctoral students, maintain student clinic assignments according to rotation schedule and keep track of student completion of course requirements and attendance. Reschedules predoctoral student orthodontic rotations in coordination with Clinical Affairs.
  • Coordinate and manage the distribution of patient assignment. Assigns and evenly distributes treatment cases among residents, monitors patient load of each resident, faculty and clinic session.
  • Review patient charts to make sure all consents, signatures and treatment notes have been entered and approved.
  • Screen calls and provides information in accordance with organizational policy. Handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries.
  • Updates department calendars including, PG academic calendar, Faculty/Staff absence calendar and clinic calendar (axiUm Scheduler).

Qualifications

Minimum Education and Experience
  • Bachelor's Degree in Business Administration or a similar related field, plus one (1) year of experience in dealing with patient's in a medical or dental setting required.
  • Equivalent education, experience and / or training may be substituted for the degree requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must have excellent writing skills and experience with Microsoft Word, Excel, and PowerPoint.
Preferred Qualifications
  • Managements experience is a plus.
  • Experience with the application process for students a plus.
  • Familiarity with Axium software, Banner, and Marketplace a plus but not required.
  • Bilingual skills (English / Spanish) preferred.
