Royalty Operations and Accounting Administrator

Job Function

The Royalty Operations and Accounting Administrator is responsible for analyzing royalty data and supporting the preparation of royalty reconciliations, while ensuring the integrity of the royalty calculations and statements. This role involves interpreting royalties, advance payments, reviewing predrafted agreements, and providing expert consultation to the portfolio team on complex product structures to ensure accurate royalty disbursements. Additionally, the assistant oversees the meticulous archiving of documents and accurately inputs royalty and subsidiary rights contract information into the royalty system. Collaboration with internal teams, including Portfolio and Legal, is essential to resolve inquiries and facilitate the seamless execution of royalty operations. In addition to your core duties, you will act as a liaison between associates and senior management, highlighting critical agreement clauses to stakeholders. You may also offer guidance to junior colleagues, promoting a collaborative team environment.

Job Responsibilities and Accountabilities:

General Profile:

Minimum 1.5 years of experience in reconciliation or royalty calculation along with stakeholder management. 

Process agreements for both regular and High-Profile Authors across Operating Units, prioritizing efficiency while meeting Service Level Agreements (SLAs). 

Engages in collaborative efforts to drive accurate royalty payouts through effective communication and teamwork.

Expertise:

Proficiency in tools such as Oracle EBS, Alfresco, Microsoft Office, Salesforce, JIRA, and Smartsheet. 

Accountability

Assist associates and Portfolio and legal teams with inquiries related to agreements. 

Research and clear sales stuck in suspense accounts on priority to ensure accurate royalty payouts. 

Manage and maintain accurate records of client data, including contract details, service requests, and performance metrics

Conduct research on products and agreements based on author queries and determine the necessary data sanity checks to be performed in the IPM system. 

Leadership :

Provide mentorship to less experienced colleagues, fostering a collaborative team environment.

Implement data retention policies in accordance with regulatory requirements and client agreements. 

Ensure adherence to Standard Operating Procedures (SOP) and established processes, offering suggestions for enhancements where necessary.

Communicates relevant information clearly and professionally.

Develops positive relationships with team members to foster collaboration.

Skills, Knowledge, Behaviors

Strong attention to detail in royalty data analysis and reconciliation.

Proficient in data maintenance; familiarity with Intellectual Property Management systems is a plus.

Ability to manage workload efficiently and meet deadlines.

Ensures data integrity and compliance through proper handling and archiving of legal and contractual documents.

Excellent communication and organizational skills for effective collaboration within the team.
