Job Title: -- Assistant Office Manager

Job Summary: -- This position assists is responsible for daily coordination of activities of office services, often including overseeing equipment maintenance, mail and distribution, telephone, messenger, and office supplies. Schedule and coordinate projects, events, and special assignments from management. Performs a wide variety of administrative, logistical and coordination tasks. This role will perform a wide variety of tasks that require a high level of organization and project administration.

Essential Duties and Responsibilities: --

  • Proactively coordinate management, including arranging equipment maintenance, mail and distribution, telephone, messenger, office supplies, and liaising with building management.

  • Assist Director, Human Resources with various tasks as assigned.

  • Provide key support for coordination and planning of various Executive and Corporate in-person and virtual events, including coordinating and executing event activities at off-site locations.

  • Coordinate and manage building maintenance issues and general office/equipment issues. May require on-site building issue resolutions in the evenings and weekends.

  • Coordinate corporate gifting.

  • Responsible for corporate stationery ordering and inventory.

  • Prepare and process purchase/work orders and expense reports.

  • Update online services and training pertaining to office equipment such as printers.

  • Maintain office equipment and schedule repairs.

  • Coordinate day-to-day activities for office maintenance, repairs and renovations.

  • Assist with and prepare PowerPoint presentations as assigned.

  • This position requires early morning, evening, and occasional weekend work.

  • Travel: As required, up to 10%.

Qualifications: --

  • Minimum of 5+ years of experience

  • High School Diploma required; B.S./B.A. preferred

  • Must have prior event planning experience; corporate event planning preferred

  • Strong organizational and analytical skills

  • Self-motivated and detail-oriented, with the ability to prioritize workflow, and manage multiple tasks on a daily basis

  • Advanced PC skills (Word, Excel, PowerPoint, Microsoft Office O365 / Teams)

  • Ability to work independently as well as part of a team

Compensation Range: $86,000 - $107,000

This position is bonus eligible.
