Job Title: Payroll SpecialistJob Description

The Payroll Specialist will be responsible for facilitating semi-monthly payroll for the entire organization. This includes importing payroll system batch entries, preparing manual input entries, reconciling payroll general ledger accounts, and recording journal entries monthly. The role also involves all leave administration, including communication with employees, managers, and external short and long term disability vendors, as well as calculating payroll exceptions related to FMLA, STD, Military, and unpaid time. Additionally, the Payroll Specialist will assist with the configuration of all payroll items in the HRIS system, create reports, provide data to HR and Accounting as needed, and assist with documentation gathering for various audits.

Responsibilities

  • Facilitate semi-monthly payroll for the entire organization.

  • Import payroll system batch entries and prepare manual input entries.

  • Reconcile payroll general ledger accounts and record journal entries monthly.

  • Administer all leave, including communication with employees, managers, and external vendors for short and long term disability.

  • Calculate payroll exceptions for FMLA, STD, Military, and unpaid time.

  • Assist with the configuration of payroll items in the HRIS system.

  • Create reports and provide data to HR and Accounting as needed.

  • Assist with documentation gathering for various audits.

Essential Skills

  • Experience with payroll processing and reconciliation.

  • Proficiency in Excel for data entry.

  • Ability to handle a semi-monthly payroll for 1200 people, mostly salaried except for interns.

Additional Skills & Qualifications

  • Experience with Workday is a plus, but training will be provided.

  • Basic Excel skills required.

  • Experience with month-end or reconciliations is nice to have, but not mandatory.

  • Open to various educational backgrounds.

  • Willingness to train someone with less experience.

Work Environment

This is a hybrid position requiring in-office presence two days a week, potentially more during the initial training period. The role offers flexibility to work remotely most of the time, with accommodations for personal commitments such as child pickups. The work schedule is flexible with options including 7:30-4, 8:30-5, and 8-4:30. The position has the potential to become permanent after 6-12 months if the candidate is the right fit. There is an onsite cafeteria available, and the team currently consists of four members. The work environment is supportive, aiming to balance workload and provide flexibility during busy periods such as open enrollment.

Pay and Benefits

The pay range for this position is $24.00 - $29.80
