ABOUT THE JOB:

 

The Administrative Assistant is responsible for providing administrative, receptionist, and personal assistant support to ensure efficient office operations and assist management with various tasks.

 

 

 

ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES:

 

  • Greet clients and visitors.
  • Answer and route calls to the appropriate party.
  • Collect and distribute parcels and other mail.
  • General administrative duties such as file management, organizing, sending emails and faxes.
  • Ordering of office supplies, snacks and drinks.
  • Assist with physical and electronic mail out of invoices from Billing Department.
  • Assist A/R by scanning all physical checks received in the office daily to electronic direct deposit portal.
  • Assist with basic special projects as needed by HR and Management team.
  • Comply with all Geneva Pipe and Precast policies, procedures and Track/Maintain specific audit controls: signed delivery tickets and credit memos.
  • Provide personal assistance to management team, including managing calendars, scheduling meetings.
  • Handle confidential information with discretion and professionalism
  • Coordinate and plan company events or meetings, including catering and logistics
  • Regular, reliable and predictable attendance is necessary in order to perform the essential functions of this position.

EDUCATION/EXPERIENCE:

 

  • High school graduate or equivalent.
  • 1+ years related experience.
  • Construction Industry preferred.
