Robert Half Administrative Assistant in Palo Alto, California

Description We are offering a short term contract employment opportunity for an Administrative Assistant in the industry of Senior Housing, located in Palo Alto, California, United States. This role primarily involves coordinating resident services, ensuring smooth operation of activities and events, and providing administrative support.

Responsibilities:

• Efficiently manage and coordinate scheduled events such as chair yoga, movie nights, line dancing, holiday events, and social gatherings in collaboration with residents, staff, and external partners.

• Develop and implement new activity ideas such as art groups, educational presentations, exercise techniques, and coffee chat groups in conjunction with participants and the Resident Services Coordinator.

• Plan and facilitate special events within the given budget under the direction of the Resident Services Coordinator/Property Manager.

• Ensure minimal disruption to scheduled activities and provide coverage in coordination with the management team staff.

• Responsible for composing, producing, and distributing the monthly newsletter and activities calendar to staff and residents in a timely manner.

• Create content for digital displays about upcoming activities and events.

• Distribute flyers and memos to residents about programs and services.

• Welcome new residents, provide them with the current newsletter, and orient them to activities within the community.

• Oversee and assist volunteers for activities, programs, and events in the community.

• Proficiently use Office Suite and adapt to new software and systems as needed, and effectively communicate in Mandarin. Requirements • Possess at least 1+ years of experience working in an administrative role

• Demonstrated skills in administrative assistance and office management

• Proficient knowledge of senior housing operations

• Fluency in Chinese language, both in verbal and written form

• Ability to manage multiple tasks and deadlines in a fast-paced environment

• Strong interpersonal and communication skills

• Proficiency in Microsoft Office Suite and other administrative software

• Excellent organizational and time management skills

• Ability to work independently and as part of a team

• High level of discretion and confidentiality

• Detail oriented and problem-solving skills

• High school diploma required; additional qualifications in Office Administration are a plus TalentMatch®
