Aerotek Sales Administrative Assistant in Petaluma, California

Job Title: Customer Service Representative

Job Description: This role involves supporting sales from order entry through shipping, ensuring customer satisfaction, and handling product information and order status. You will act as a liaison, provide product and service information, answer questions, and resolve any emerging problems with accuracy and efficiency. The ideal candidate is genuinely excited to help customers, patient, empathetic, and passionately communicative.

Shift: Monday-Friday, 7 AM-4 PM or 8 AM-5 PM

Job Type: This is a Contract-to-Hire position with a duration of 4 months.

Work Site: This is a fully on-site position in Petaluma, California.

Responsibilities:

  • Interact with customers, company sales, and/or service representatives to handle a variety of pre-sales or post-sales service functions related to domestic and/or international order processing.

  • Provide direct customer support, including administrative tasks.

  • Manage large amounts of incoming phone calls and customer service inquiries.

  • Generate sales leads that develop into new customers.

  • Identify and assess customer needs to achieve satisfaction.

  • Verify customer and order information for correctness, checking it against previously obtained information as necessary.

  • Review orders for completeness according to reporting procedures and work with customers on any order corrections required.

  • Inform customers by email or telephone of order information, such as unit prices, shipping dates, and any anticipated delays.

  • Recommend merchandise or services that will meet customers’ needs.

  • Inspect outgoing work for compliance with customers’ specifications.

  • Check inventory records to determine availability of requested merchandise.

  • File copies of orders received or post orders on records.

  • Notify departments when supplies of specific items are low or when orders would deplete available supplies.

  • Prepare order quotes, acknowledgments, shipping documents, and contracts.

  • Confer with production, sales, shipping, warehouse, or common carrier personnel to expedite or trace shipments.

  • Compute total charges for merchandise or services and shipping charges.

Requirements:

  • Excellent attention to detail

  • Proficiency in Microsoft Office Suite

  • Experience working with CRM software, like Salesforce

  • Good computer skills
