Description We are seeking an Administrative Assistant to join our team in the education sector located in Pewaukee, Wisconsin. This role offers a short-term contract employment opportunity. As an Administrative Assistant, you will play a vital role in supporting our faculty, staff, and students by handling complex administrative tasks and contributing to the efficient operations of our institution.
Responsibilities:
• Ensure smooth operations by providing general administrative assistance including managing schedules, coordinating meetings, and processing documentation.
• Take responsibility for data management and advanced Excel tasks by managing and organizing large datasets, analyzing information, and generating detailed reports to support decision-making processes.
• Maintain and update spreadsheets for record-keeping, budgeting, and academic tracking purposes.
• Act as a liaison between departments, faculty, staff, students, and external stakeholders by providing clear and concise communication.
• Draft detail-oriented emails, memos, and meeting minutes effectively and accurately.
• Learn and execute complex operational processes quickly, adhering to established guidelines and workflows.
• Suggest improvements to administrative procedures and systems to enhance efficiency.
• Assist in planning and coordinating school events, including scheduling, logistics, and communicating with vendors.
• Manage room reservations, AV setup, and materials preparation for meetings, workshops, and other events.
• Support special projects and initiatives as required by leadership and provide backup coverage for other administrative staff during leaves or absences. Requirements • Minimum of 5 years of experience in an administrative role
• Proven ability to manage both inbound and outbound calls efficiently
• Exceptional customer service skills, with a focus on resolving issues promptly and professionally
• Excellent data entry skills, with a keen eye for detail and accuracy
• Proficient in handling email correspondence, with strong written and verbal communication skills
• The ability to schedule appointments, manage calendars, and coordinate meetings
• Proficient in Microsoft Office Suite, specifically Microsoft Word, Excel, Outlook, and PowerPoint
• Ability to work in a fast-paced environment, prioritizing tasks to meet deadlines
• Knowledge of the education or trade industry will be considered an asset TalentMatch®
