Position Description

Position: TRC Office Administrator

Reports To: Executive Director

Current Location: Swissvale, PA (Transitioning to the Stonewall Inn in Downtown Pittsburgh)

Compensation: $20.00 per hour (40 hours per week, 80 hours per pay period)

Employment Type: Full-time (In office)

Benefits: Employees become eligible for health, vision, dental, and life insurance after successfully completing the 90-day probation period.

Position Overview

The TRC Office Administrator plays a vital leadership role at SisTers PGH, overseeing the daily operations of the Stonewall Inn drop-in space. This position ensures the space remains functional, welcoming, and resourceful for the trans community, providing essential support and services.

Transition to the Stonewall Inn

Currently, SisTers PGH operates out of Swissvale, but we are in the process of transitioning the Trans Resource Center (TRC) to the Stonewall Inn in Downtown Pittsburgh. Moving forward, the Stonewall Inn will be our primary drop-in space, offering an expanded range of services, increased caseloads, and extended hours to better serve the trans community.

The Office Administrator will be responsible for managing all operations at the Stonewall Inn, ensuring that the space remains functional, resourceful, and welcoming. This role requires a leader who is ready to take charge, grow in leadership, and support the community with professionalism and structure.

 

Key Responsibilities

Leadership, Independence & Professionalism

The Office Administrator will be the primary leader overseeing the Stonewall Inn, ensuring that the drop-in space functions effectively and meets the needs of the community.

We are looking for a leader who:

   •    Can step into this role with confidence and decisiveness, ensuring that all operations at the Stonewall Inn run smoothly.

   •    Is emotionally resilient and able to provide support to our trans siblings without engaging in trauma bonding or bringing personal crises into the workspace.

   •    Can navigate challenges with professionalism, discretion, and a commitment to the mission of SisTers PGH.

   •    Maintains clear boundaries, ensuring that relationships with community members remain professional and ethical to uphold the integrity of the space.

   •    Is capable of working independently, as there will be times when they are the sole staff member in the office, working alone or alongside volunteers. Strong decision-making, self-motivation, and leadership skills are required.

Community Engagement & Outreach

   •    Actively promote and advocate for SisTers PGH services, ensuring that trans individuals in the community are aware of and connected to our programs.

   •    Conduct outreach efforts to engage new community members, build trust, and increase participation in services at the Stonewall Inn.

   •    Represent SisTers PGH professionally at events, forums, and meetings to increase awareness and accessibility of our resources.

   •    Collaborate with partner organizations to expand the reach of SisTers PGH programs and strengthen relationships within the broader community.

Operations & Program Management

   •    Oversee the daily operations of the Stonewall Inn drop-in space, ensuring that it remains structured, organized, and well-managed.

   •    Ensure the Stonewall Inn's transition to a larger service space is smooth and well-organized, keeping all systems and structures running efficiently.

   •    Maintain a professional, structured, and supportive environment for both staff and community members.

   •    Ensure the space remains stocked with necessary supplies and runs effectively.

Program Development & Community Forums

   •    Develop and implement new programs for the Stonewall Inn, ensuring they are responsive to the evolving needs of the trans community.

   •    Organize and facilitate monthly community forums on trans wareness, advocacy, and other relevant topics to foster engagement and education.

Community Support & Referrals

   •    Serve as a key point of contact for clients entering the Stonewall Inn, ensuring they receive appropriate support.

   •    Refer individuals to the Case Manager and Behavioral Health Program Manager for additional resources, such as mental health support, housing assistance, or other services.

   •    Assist community members in navigating available programs and services provided by SisTers PGH and external partners.

Name Change Clinic Coordination

   •    Oversee the Name Change Clinic, ensuring participants are provided with the necessary guidance and resources to complete the legal name change process.

   •    Collaborate with staff and legal professionals to streamline clinic operations.

Administrative & Financial Duties

   •    Office Management:

   •    Answer and manage phone calls, emails, and social media messages to ensure efficient communication with the organization.

   •    Organize office records, schedule appointments, and oversee general administrative duties.

   •    Maintain a well-structured office space, handling supplies, inventory, and documentation.

   •    Financial Management:

   •    Handle accounts receivable, including depositing checks/cash from the Executive Director or Administrative Assistant at least once per calendar week.

   •    Provide necessary financial documentation for deposits and donations (EIN, W9).

Team Leadership & Staff Support

   •    Maintain a professional, well-organized space that fosters collaboration and efficiency among staff and community members.

   •    Support the broader mission of SisTers PGH by ensuring smooth operations and high-quality service delivery within the Stonewall Inn.

Qualifications & Skills

   •    Experience in office administration, nonprofit leadership, program coordination, or a related administrative role.

   •    Strong ability to multitask, prioritize tasks, and work under pressure.

   •    Excellent organizational and time management skills.

   •    Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.

   •    Strong written and verbal communication skills.

   •    Understanding of community resource programs and LGBTQIA+ advocacy is highly preferred.
