University of Maine System Administrative Specialist (Conf) CL2 - College of Science, Technology and Health in Portland, Maine

Position is available to employees of the Associated C.O.L.T. Staff of the University of Southern Maine from 1/3/2025 through 1/10/2025 and open to external applicants thereafter.

The Dean’s Office of the College of Science, Technology, and Health at the University of Southern Maine is seeking an Administrative Specialist.

The College of Science, Technology, and Health (https://usm.maine.edu/college-science-technology-health/) has programs spread across the Portland, Gorham, and Lewiston campuses. These programs include the School of Nursing and twelve academic departments: Biological Sciences, Chemistry, Computer Science, Engineering, Environmental Science and Policy, Exercise, Health, and Sport Sciences, Linguistics, Mathematics and Statistics, Occupational Therapy, Physics, Psychology, and Technology. Together, these programs provide a variety of graduate and undergraduate degrees, minors, and certificates. It is also home to an Army ROTC program, as well as the Southworth Planetarium and STEM Outreach Programs.

The Administrative Specialist for the Dean’s Office is responsible for a variety of administrative, office management, and clerical tasks that require strong organizational skills and flexibility. This role serves as the primary point of contact and an ongoing resource for both internal and external stakeholders, handling a wide range of verbal and written communications.

Collaboration within a team is essential, along with a commitment to exceptional customer service, maintaining confidentiality, filling administrative coverage gaps as needed, and managing multiple tasks effectively. The ability to prioritize and navigate a diverse environment with frequent interruptions is crucial. The position seeks an individual with sound judgment and initiative because work is typically carried out under general guidance rather than specific instructions.

The position is located primarily on our Portland campus, and on occasion, events and coverage opportunities occur on other USM campuses. This full-time position will pay $18.86/hour (non-negotiable) for a new hire or the appropriate transfer rate for a current employee with the University of Maine System.

Required Qualifications:

• High school diploma or equivalent (G.E.D.) or international degree equivalency

• 1+ years of administrative support experience

• Excellent communication and customer service skills

• Computer proficiency
