As an Administrative Assistant, you will be working on a construction project with our team at the Portland International Airport. This role is responsible for providing administrative and document control support for our construction team. Successful candidates will demonstrate a high attention to detail, strong time management skills, and experience working in dynamic team environments. This position is not eligible for remote work.

What you’ll be doing:
You will provide administrative support for our project team. You will be responsible for data entry, distributing prints, filing, scanning, maintaining records, managing spreadsheets, and more. You will help with office staff coordination, badging for new hires, and timesheet organization. This is a mid-level role that serves the project team and supports our quality control team.
Administrative Assistants at Harder perform the following daily tasks:
Supports the construction team on-site with data entry, and completing tasks critical to business success
Initiate and maintain document control structure on internal HMC file server
Assist with the uploading, printing, and electronic filing of construction drawings
Schedules and coordinates meetings, appointments and maintains calendars
Prepares and distributes daily/weekly communications including reports, invoices, transmittals, and various other documents
Supports key processes such as timecard submissions, scheduling transfers and new hires into safety training etc.
Schedule badging appointments for new hires
Communicate clearly and effectively with internal and external stakeholders and corporate headquarter personnel
Maintains filing systems (electronic and physical) with a focus on document control
Supports the field with material purchases and PO tracking
Reports to the Site Manager, or as designated
Additional tasks as needed by the onsite project team
What you will need to be successful in this role:
Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
Ability to communicate with a broad spectrum of people including suppliers, field crews, designers, and owners
Organized and productive
Strong time management skills and ability to prioritize tasks on an ongoing basis
Access to daily transportation to the Portland International Airport (PDX)
Interest in long-term stability
Education/Experience:
2-3 years of experience in administration supporting teams in a high-paced environment, construction setting preferred
Experience in a construction environment or similar industrial setting
Previous document control experience
High School diploma required
