About the Opportunity

We are recruiting for Part-Time Facilities and Administration Support to be based in our Dorchester office. You'll support the Energy Engineering and Technical Solutions business in the efficient execution of Administration activities, to the agreed level of delivery and quality through the provision of clerical and administrative support as requested by professional staff, to maintain and operate efficient business and administration systems and to help maximisethe value and quality of deliverables produced by the businesses - being a point of contact within the office for administration activities. Additionally, acting as the Facilities point of contact for the office. Key responsibilities in this role will be:

Administration:

  • Responsible for responding to enquiries coming into the in central administration email box.

  • Dealing with contractor enquiries.

  • Project delivery administration.

  • Assisting with ad-hoc purchases for the office, which fall outside the scope of the Facilities team.

  • Maintain consumable stocks for the Teams/business.

  • Create and maintain efficient record and filing systems for Lead Team (including correspondence and document registry).

  • Supporting the site based Operations Managers with site operation activities, including online purchases.

  • Work with other admin support to support the business as a whole, to support the teams in delivering excellence to the external customer.

Facilities/HSSE Support:

  • Ordering security passes and reissuing lost passes.

  • Providing facilities support to staff within the office, via helping and advising on office issues including security, landlord issues/liaison, maintenance, liaising with building manager and problem resolution.

  • Dealing with/escorting external contractors to ensure all activities executed are compliant and completed in a timely manner.

  • Liaising with cleaning company regarding cleaning issues.

  • Updating the facilities software throughout the month to ensure all the paperwork is updated and compliant for any audits taking place (monthly inspections of fire doors, equipment, lighting, door security, etc).

  • Placing orders and keeping track of all office supplies needed to run a smooth office including office supplies.

  • Working closely with the Office Manager and other facilities points of contact to ensure office meets all facilities requirement for office and employees, and associated compliance.

  • Liaise with contractors on a regular basis applicable to legislative requirements around PAT testing, fire extinguisher testing, etc.

  • Keeping staff refreshments stocked, ordering stationery.

  • Authorising facilities invoices and sending off to accounts.

Front of House:

  • Ensuring all visitors are escorted who do not have security clearance.

  • Making sure meeting rooms are set up correctly with equipment, refreshments, etc.

  • Ensuring all visitors have read and understood the visitor induction, are clear of all safety aspects and what should be done in an emergency.

New Starters:

  • Make sure all new starters have read and understood all inductions.

  • Provide office tour and required personnel introductions.

  • Check if they require a personal emergency evacuation plan and organise as required.

  • Experience within both Facilities Management and Operations.

  • Good Stakeholder management and communication skills.

  • Strives to create a positive employee experience within Administration/Facilities team and local office.

  • Effective operation of office facilities in line with company guidelines, any issues that arise are resolved efficiently.

  • Good working relationships with office leadership and Property Management and/or Landlord.

  • Office is organised, clean, professional in appearance and is well-maintained.

  • Ability to be able to obtain and maintain SC Clearance.
