Description
Job Summary:
Our client, a growing construction company, is seeking a versatile and detail-oriented Accounting Specialist to handle basic accounts payable (AP), accounts receivable (AR), and office administrative tasks. This contract-to-hire position offers a fantastic opportunity to work in a dynamic environment and contribute to the success of construction projects.
Key Responsibilities:
Accounts Payable (AP):
Process vendor invoices, including coding, batching, and entry into the accounting system.
Perform three-way matching of purchase orders, invoices, and delivery receipts to ensure accuracy.
Prepare payment batches and track subcontractor payments, including lien waiver management.
Communicate with vendors and subcontractors to resolve discrepancies or payment inquiries.
Accounts Receivable (AR):
Generate and send customer invoices, including progress and retention billing.
Post incoming payments (checks, ACH, and wire transfers) to customer accounts.
Monitor aging reports and follow up on past-due accounts in coordination with project managers.
Reconcile AR balances and prepare related reports.
Office Administration:
Answer and direct phone calls, greet visitors, and maintain a professional office environment.
Manage office supply inventory and coordinate vendor services.
Maintain organized records of invoices, contracts, payments, and other project-related documentation.
Assist with scheduling meetings and preparing documents for project reviews or team updates.
Construction-Specific Tasks:
Support the preparation of AIA billing, lien waivers, and compliance documentation.
Assist project managers with tracking costs, budgets, and contract details.
Maintain and ensure compliance with state and local construction billing requirements.
Month-End Support:
Reconcile accounts and prepare reports for project budgets, AP/AR, and retention balances.
Assist in month-end close processes to ensure accuracy and timely reporting.
Requirements
Qualifications:
2+ years of experience in accounting, bookkeeping, or administrative roles, preferably in the construction industry.
Knowledge of construction-specific processes like AIA billing, lien waivers, and retention tracking.
Proficiency in accounting software (e.g., Sage 300 CRE, Viewpoint, or QuickBooks) and Microsoft Office Suite.
Strong organizational skills with the ability to multitask and prioritize.
Excellent communication skills and attention to detail.
High school diploma required; Associate’s degree in Accounting, Business Administration, or related field preferred.
