Company Overview:

Our client, a growing organization committed to operational excellence, is seeking a dedicated Accounts Payable Specialist to join their finance team on a temp-to-hire basis. This role offers an exciting opportunity for individuals looking to transition to a full-time position while contributing to the smooth running of the company’s financial operations.

Position Overview:

The Accounts Payable Specialist will handle all aspects of the accounts payable process, ensuring that vendor invoices are accurately processed, paid on time, and properly recorded in the accounting system. The ideal candidate will have strong attention to detail, the ability to manage multiple priorities, and experience in maintaining vendor relationships.

Key Responsibilities:

Invoice Processing:

  • Review, verify, and process vendor invoices, ensuring correct coding and compliance with company policies.

  • Match purchase orders, receiving reports, and invoices to ensure accuracy before processing payments.

  • Enter invoices into the accounting system for timely payment, including batching, coding, and entering transactions.

Payment Processing:

  • Prepare and process payments, including checks, ACH, and wire transfers.

  • Ensure timely payment of invoices and manage early payment discounts or other vendor terms.

  • Monitor payment schedules and resolve any issues with vendors regarding missing or delayed payments.

Vendor Management:

  • Maintain strong relationships with vendors, handling inquiries, discrepancies, and disputes related to payments and invoices.

  • Assist in onboarding new vendors and updating existing vendor records.

Reconciliation & Reporting:

  • Reconcile vendor statements and accounts payable balances with the general ledger.

  • Assist with month-end closing procedures, including accounts payable reports and accruals.

  • Ensure compliance with accounting policies and procedures.

Audit & Compliance:

  • Assist with audits by providing documentation and reports related to accounts payable transactions.

  • Ensure compliance with federal, state, and local regulations, including tax filings and reporting.

    Requirements

Qualifications:

Education:

  • Associate’s or Bachelor’s degree in accounting, finance, or a related field preferred.

Experience:

  • 2+ years of experience in accounts payable, with a strong understanding of AP processes.

  • Experience in a high-volume, fast-paced environment is a plus.

Technical Skills:

  • Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, or similar).

  • Strong knowledge of Microsoft Excel (including pivot tables, VLOOKUPs, and formulas).

Soft Skills:

  • Excellent attention to detail and organizational skills.

  • Strong communication skills to effectively collaborate with vendors and internal departments.

  • Ability to manage multiple tasks and meet deadlines.

Work Environment:

This position is based in an office environment with collaboration across the finance team. The role may involve working under tight deadlines, requiring flexibility and problem-solving skills to handle various tasks simultaneously.
