The Global Strategy and Process Optimization Lead is an integral part of Global Regulatory Affairs and Global Pharmacovigilance organizations, ensuring seamless operation across all geographies and functions. This position will not only facilitate the business needs of the group(s) but implement best practices and learnings cross-functionally within key stakeholders across the organization. This role will report directly to the Chief Regulatory & Safety Officer, with a strong focus on project management, executive administrative support, coordination and process analysis and improvement. Open, effective, and proactive communication is critical for this role, as well as results-oriented work ethic and attention to detail.
This role will be based out of the Princeton, NJ office.
Key Responsibilities
Lead and/or facilitate special projects and high-profile initiatives, as appropriate.
Assist in developing and refining the department's strategic goals, ensuring alignment with the organization’s overall objectives.
Develop agendas and support the executive in the management of key leadership meetings to ensure that important decisions and action items are fully addressed and accountable.
Develop working knowledge of technology platform and execute accordingly, e.g., work cross-departmentally and cross-functionally to execute to completion including but not limited to:
developing, refining Standard Operating Procedures
creating departmental communication and training plans
ensuring continuity across all geographies, where appropriate
preparing slides for presentation to Executive Management Team (EMT) and Board of Directors
Manage and track key regulatory and PV projects to ensure timely and effective execution
Act as liaison to HQ functions including regulatory, pharmacovigilance, and other departments (e.g., Clinical development, medical affairs, HR, Finance, and Legal):
ensure alignment and integration of cross-functional objectives
lead recurring collaboration meetings
develop new processes and tools company-wide
identify and triage issues in real-time
Manage vendors and consultants’ procurement process, including but not limited to:
creating purchase orders
negotiate and prepare contracts, amendments, data privacy agreements, and required Compliance forms for execution
initiate and oversee business side of onboarding process
Partner cross functionally with HR and Finance on strategic sourcing initiatives – including tracking of FTEs, planning for new hires, utilization of contractors, and allocation of FTEs over projects and programs.
Collaborate with the leadership and extended teams to refine processes and tools that are needed to improve scalability and efficiency.
Ad-hoc projects and tasks as needed.
Requirements
Bachelor’s degree in business or related field of study or an equivalent of education plus relevant experience in an office environment.
Minimum twelve (12+) years of practical experience, preferably in both executive administration and project management, analysis, &/or operations role, and requisite experience and skills to support executive team globally.
Demonstrable collaboration and problem-solving skills.
Ability to present, persuade, and influence broad set of stakeholders.
Strong attention to detail and ability to work independently.
Exceptional communication skills, both oral and written, excellent organizational/time management skills.
Excellent project management skills with demonstrable skills at effectively managing projects cross-functionally and regionally
Ability to prioritize tasks and resources, meet deadlines, and be flexible to changing priorities.
Must be proficient with Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams, etc.).
Ability to travel up to 15% of time domestically and internationally.
