Reporting to the HRIS Manager, the HR Coordinator will be responsible for the update and maintenance of multiple HRIS systems, the processing of personnel transactions and for communications with clients and stakeholders. In addition, the HR Coordinator is a subject matter expert on the employee population they will be affiliated with.

Duties include:

  • Develop and maintain proficiency in the functionality and application of the HCM module in CUNYfirst and an understand of the dependency other system modules, including Campus Solutions and Finance, have on the accuracy of HCM data.

  • Maintain extensive contact with departments to coordinate the hiring process, information and resolve issues as they arise. Advise managers and staff on Human Resources policies and guidelines, providing a consistently high level of customer service to all members of the college community.

  • Conduct training sessions on the use of Human Resource systems, including the Adjunct Employee Management Systems (AEMS) and the Classified Hourly Employee Management System (PR-Assist), as well as on the application of relevant Federal and Local Laws and policies and procedures which must be applied during the hiring process.

  • Coordinate and conduct New Employee On-Boarding sessions. Review paperwork for accuracy and completeness and answer questions related to the following: completion of Form I-9, verification of degree information, direct deposit, University workload limitations, etc.

  • Complete contractually mandated appointment and reappointment processes and communications tasks.

  • Maintain an in-depth understanding of CUNY rules and regulations, collective bargaining agreements and College policies. Act as subject matter expert on all of the above for one or more employee populations.

  • Receive and maintain required training to access and utilize the United States Citizenship and Immigration Services (USCIS) e-Verify database and the National Student Clearinghouse Degree Verify database.

  • Ensure the timely and accurate entry of employee appointment and personal data into CUNYfirst. Maintain accurate position information in CUNYfirst as a requirement for the successful function of the University Payroll Interface.

  • Maintain a database of employee information and accurately track eligibility for contractual salary increases based on longevity. Make the appropriate adjustments to individual employee records to reflect breaks in service and process actions accurately and timely.

  • Work closely and coordinate as necessary and appropriate with the University Office of Shared Services to ensure accurate and timely payment of hourly employees.

QUALIFICATIONS

Bachelor's Degree required.

Preferred qualifications include:

  • Familiarity with excel formulas and macros

  • An ability and commitment to provide high-level, consistent customer service

  • Experience working in Enterprise Resource Planning (ERP) and other database software, such as Peoplesoft

  • The ability to effectively prioritize and manage time for multiple competing tasks with hard deadlines

  • Responds to requests for information; troubleshoots issues, follows up and responds to employee inquiries

  • Assists HR managers with employee communications of all kinds; may prepare materials, conduct orientation sessions, or update web pages

  • Performs related duties as assigned.

COMPENSATION AND BENEFITS

IMPORTANT NOTICE: Health Plan Coverage for Employees Hired on or after October 1, 2022 City of New York employees and employees of Participating Employers and their eligible dependents hired on or after October 1, 2022 will only be eligible to enroll in the EmblemHealth HIP HMO Preferred Plan and must remain in the HIP HMO Preferred Plan for the first year (365 days) of employment.

After 365 days of employment, the employee will have the option of either remaining in the HIP HMO Preferred Plan or selecting a different health plan within 30 days before the end of the 365th day period.

If a new health plan is selected, the new plan will be effective on the 366th day.

Only after the 365th day can the employee participate in any Annual Fall Transfer Period. An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to EmblemHealth. An employee, or eligible dependent, must meet certain criteria and the request must be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.

The position is hybrid and requires some on-site work and is subject to change.

Salary commensurate with education and experience.

Salary range for this posting is $65,946 - $70,541
