What will you do as a Human Resources Specialist?

As part of the Human Resources Team, the Human Resources Specialist administers various programs within the department including Talent Acquisition and the DOT driver qualification file management. This position plays an integral part in assisting with other programs and processes including, assisting employees with benefit enrollment, and maintaining employee files and other HR related records. The Human Resources Specialist also provides administrative support to the Human Resources team along with providing exceptional customer service to internal and external customers. Additionally, the Human Resources Specialist is expected to live and demonstrate the Company’s Culture while being a servant leader within the company and community.

ESSENTIAL DUTIES AND RESPONSIBILITIES

TALENT ACQUISITION

  • Assist in updating and maintaining employee records assuring accuracy, compliance and confidentially.

  • Assist in timely position postings with applicable state agencies, area colleges and technical schools, internal and online job boards and other recruiting outlets.

  • Conduct pre-employment activities including background screenings and checking references, following up to ensure timeliness of completion.

  • Initiate and follow adverse actions as necessary in the background screening process.

  • Create offer letters for candidates selected by hiring managers and process through the HRIS system for appropriate approvals.

  • Follow up with candidates to ensure timeliness of offer acceptance and initiating background invitation.

  • Follow up with managers to retrieve Interview Guides and other candidate and new hire information.

  • Ensure full and accurate completion of all onboarding documentation and tasks by new hires as well as hiring managers.

  • Set up new team members in the HRIS/Payroll system and other reporting systems and spreadsheets.

  • Set up weekly new hire orientation sessions and confirm/follow up on orientation attendance.

  • Send weekly communication of new team members.

  • Recommend new approaches, policies and procedures to effect continual improvements in efficiency of department and services performed.

DOT

  • Track positions requiring CDLs and create and maintain DOT files consistent with state and federal laws.

  • Submit and track DOT driver history requests of new commercial licensed drivers to their former employers.

  • Manage DOT Clearinghouse activity for the company.

  • Stay up to date on DOT & FMCSA regulations and requirements.

  • Ensure accuracy of DOT information in HRIS system to reflect an accurate monthly report to leaders.

ADMINISTRATIVE

  • Provide administrative support to members of HR Department and assist department in carrying out various human resources programs and procedures for all company employees.

  • Assist in updating and maintaining Human Resources Intranet site, keeping all applicable forms and documents current.

  • Perform routine audits of personnel & DOT files and follow up on missing paperwork.

  • Maintain updated process documentation for all functional areas of responsibility within the department.

  • Recommend new approaches, policies and procedures to effect continual improvements in efficiency of department and services performed.

Requirements

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree in Human Resources or Business Administration or equivalent combination of education and experience.

  • One to three years of experience in a Human Resources role or a high-level administrative role.

  • Prior experience working in a recruiting and/or talent acquisition and DOT position preferred.

  • Excellent computer skills including Microsoft Office proficiency in Microsoft Word, Excel and PowerPoint.

PHYSICAL DEMANDS

  • Work in an office environment; sustained posture in a seated position for prolonged periods of time; may utilize a computer terminal for prolonged periods of time.

  • Work involves walking, talking and hearing using hands to handle, feel or operate objects. Vision abilities required by this job include close vision and the ability to focus when using a computer terminal.

PERSONAL PROTECTIVE EQUIPMENT (PPE)

  • None.

WORK ENVIRONMENT

  • The noise level in the work environment can be moderately noisy due to manufacturing equipment in operation.

  • Typical hours of the position are Monday through Friday, 8:00 a.m. to 5:00 p.m. Overtime may be required on occasion.
