Burning Man DPW Man Pavilion Production Planner in Reno, Nevada

JOB SUMMARY

The Department of Public Works (DPW) Man Pavilion Production Planner aids the DPW Man Pavilion Project Manager with administration duties and support as directed. They will offer logistical support (e.g. hiring, purchasing and accounting) and operational support (e.g. managing BRC resources, tracking, scheduling & speciality roles) prior to any onsite production work has begun. This role often acts on behalf of the Man Pavilion Management Team for the project and requires a high level of professionalism, integrity, and discretion.

   This temporary, ineligible for benefits role is: 

  • From April - July : Full-Time , Non-Exempt , based fully remote .

    DUTIES & ESSENTIAL JOB FUNCTIONS

    Administrative Support (75%)

  • Work with Google products (Gmail, Docs, Sheets, Drive), Microsoft Word and Excel, Asana and any additional online tools, technology, spreadsheets, maps, and applications specific to this role as required.

  • Assist with project procurement in terms of administrative research: materials and goods sourcing, collecting quotes, coordinating and receiving shipments.

  • Evaluate inventory reports from the previous year and assist in estimating the amount of material, equipment, and labor required for production processes.

  • Assist with proper entry of purchasing and budget information into Procurify, Expensify, and team drives. Maintain accurate individual records of purchases such as invoices, tickets, receipts, etc.

  • Data entry that supports real time accounting availability to the Man Pavilion Project Manager via the Master Expense Tracker and/or Quicken. 

  • Liaise with the Purchasing and Business Services teams to ensure the purchase and delivery schedule of materials is accurate. 

  • Ensure that all documentation meets the standards as outlined by management; Commit to improving and updating Standard Operating Procedures (SOP) for this role, crew operations, and individual crew members as directed.

  • Collaboratively assist in developing, producing and maintaining a production schedule that details tasks, completion times and monitors deliverables via Asana, and other time management tools, as necessary.

  • Liaise with other departments to ensure that materials and resources are scheduled to be available when needed.

  • Recommend viable solutions to reduce production time and costs as well as improve production processes and quality.

    Personnel Support (20%)

  • Work with the DPW Man Pavilion Project Manager to assemble a team and assist with the hiring process of the crew, including but not limited to outreach, form creation, data administration, interviewing, and scheduling, as directed.

  • Collect and maintain crew data through a variety of pre-determined methods to maintain accurate records of staffing details.

  • Provide time-sensitive team communications, answer calls, write and distribute emails, and act as a point of contact for crew and vendors as needed.

  • Participate in the pre-planning of major team activities such as pre-build site setup and breakdown, on-site survey, team kickoff meetings, The Man Waxing, work-site strike, camp strike, etc.

  • Know, share, and use the proper pathways of communication for de-escalating personnel issues. Learn how to create proper supporting documentation regarding such matters.

    Other Functions and Responsibilities (5%)

  • Support the creation of LNT and Waste disposal plans.

  • Be familiar with, understand and act in accordance with Burning Man’s staff policies, protocols and behavioral standards.

  • Ability to adjust and implement developing safety protocols as directed.

  • Perform other duties as assigned.

    LEARNING AND TEACHING

  • Documentation - Drives the creation, publishing, and maintenance of process documentation related to assigned duties.

  • Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes.

  • Mentoring - Mentors subordinates in acquiring the knowledge, skills, and experience that will allow them to advance in the organization. Aids, encourages, and inspires their team.

  • Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes. Participates in conferences, forums, and networking events, where appropriate.

    QUALIFICATIONS

    Required

  • Administrative / Computer experience (1 year)

  • BRC pre-season / DPW experience (2 years)

  • Clear, service-oriented and professional communication, verbally and written; Able to evaluate, tailor style and patiently respond to needs for support.

  • Understanding of event production timelines, budgeting and inventory maintenance, and working with integrated plans.

  • Operates with a high level of behavioral integrity, confidentiality and discretion of sensitive information; maintains tidiness in work ethics and the work environment, and remains calm and focused under pressure.

  • Effectively manages own time; Proactively organize and anticipate needs or gaps with problem-solving skills to ensure that planning efforts meet strict deadlines.

  • Able to integrate feedback into action, remain calm and focused under pressure or emergency situations, and maintain a professional demeanor.

  • Strong proficiency at navigating digital and online technology, including Google products with emphasis on Google Sheets; working knowledge of Microsoft Word and Excel.

  • Able to proactively engage in clarifying conversations, advanced learning and effectively update existing online applications, tools, systems, spreadsheets, and documents.

  • Expert in handling data entry with an attention for accuracy; highly organized, able to initiate and prioritize tasks, and motivated with the ability to adhere to a strict schedule.

  • Ability to temporarily relocate for work at the Burning Man event held in Gerlach, Nevada

    Preferred 

  • It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.

  • Experience with two-way radio communication with the ability to maintain professionalism on air.

  • Valid driver’s license and a good driving record

  • Familiarity with event-based production work.

    COMPENSATION

    Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated rate for this position:

  • From April - July   is $20.00 to $22.00 per hour .

     

    PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

  • Off-playa:   Work is primarily sedentary in nature, no special demands are required.
