Administrative Support Specialist/Office Manager

Experience Level: 2+ years of experience)

Administrative Support Specialist Responsibilities/Essential Functions:

Office Management: Oversee day-to-day administrative tasks, including answering phones, managing emails, managing and tracking budget, and maintaining office supplies to ensure smooth department operations.

Customer Service: Serve as the initial point of contact for the public, providing information and assistance related to planning and zoning inquiries. Redirect or escalate inquiries to the appropriate staff members when necessary.

Document Management: Assist in the preparation, distribution, and filing of planning and zoning documents, including applications, permits, and reports. Maintain accurate and up-to-date records in both physical and digital formats.

Meeting Support: Coordinate and schedule meetings, workshops, and hearings. Prepare meeting agendas, attend meetings, and take accurate minutes. Ensure timely distribution of meeting materials to relevant parties.

Data Entry and Reporting: Input data into relevant databases and systems. Generate standard reports and assist in compiling data for analysis and reporting purposes.

Permit Processing Support: Provide administrative support for the permitting process, including data entry, document tracking, and coordination with applicants.

General Administrative Tasks: Perform general clerical tasks such as photocopying, scanning, and filing. Assist with mail distribution and other routine administrative duties as assigned by Department head.

Hours: Work is generally 9:00 AM 5:00 PM, with 3-4 evening meetings/month. Work hours may be flexible, depending on personal situation.

Administrative Support Specialist Qualifications:

Well organized, ability to work independently, great attention to detail

Bachelor\'s degree in business or social science field preferred; or 2-4 years of work in administration support or office management.

Proven experience in administrative support roles.

Strong organizational and time-management skills with the ability to prioritize tasks effectively.

Excellent communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.

Attention to detail and accuracy in data entry and record-keeping.

Ability to handle sensitive information with confidentiality and discretion.

Salary Range Administrative Support Specialist/Office Manager: \$23-\$30/Hour, depending on experience, plus benefits. Excellent health, dental, vision, and life insurance; retirement includes PERSI and County Match for 401K and ROTH.
