As a team-oriented, highly-organized, and proactive Executive Assistant, you will provide a full range of administrative support to the Kimberly Clark Professional RandD Leadership team, with high-level support for the full team as available, and ensure the smooth operation of the business while maintaining high levels of confidentiality and strong interpersonal relationships with employees at all levels. In this Executive Assistant role, you will join the Professional RandD team and report directly to the Sr. Director Professional RandD, while working collaboratively with other RandD leaders and administrative assistants in all of Family Care and Professional RandD. In this role, you will: Prepare materials for, schedule and coordinate virtual and onsite meetings and events, find and set up conference rooms or other suitable locations, arrange and supervise videoconferencing with Zoom and Teams, tend to event details, and order refreshments; work with RandD leadership team on key meetings and events, including attending and supporting critical events. Maintain department calendars and manage travel arrangements for RandD Directors, including flights, hotels and car reservations as required. Provide support and navigation for our systems such as Workday, SAP, IDM, Coupa, etc.; use Windows, Word, Excel, PowerPoint and other software as required; and update and maintain all organizational charts and Sharepoint filing systems, including providing overall management our Teams groups and sites. Manage procurement process for RandD team; help with hiring requisitions for new RandD employees; and onboard new hires and/or team members. Prepare and review reports, spreadsheets, presentations, and finished documents relevant to supervisor's assignment; review, approve and route contracts through Docusign. Audit and maintain all RandD Distribution Lists. Assist with audit engagements including preparation of the engagement memos, pre-audit administrative tasks, proofreading and editing of audit reports, and final audit wrap-up. Maintain strong interpersonal relationships with employees at all levels and administrative staff outside of Professional; work closely with the Executive Assistant II supporting VP FCP RandD and Sr. Executive Administrative Assistant supporting President Professional NA; develop effective business contacts with vendors and services, including overall supervision of Roswell B400 lobby services. Contribute to projects and activities not included in principal accountabilities and be able to extend reach through several cross-functional projects; Mentor other administrative support personnel. To succeed in this role, you will need the following qualifications: Two years college, or equivalent experience years of work experience. 8 years or more administrative support in a corporate environment, supporting executives Outstanding ability to develop and maintain positive and effective interactions and working relationships at all levels, including senior management, both verbally and in writing Advanced Microsoft Office skills including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint. Zoom familiarity also preferred. Ability to gain full working knowledge of the companys structure, key personnel and organizational policies and procedures, as well as a functional knowledge of a professional services environment.
