Description

Our client is in need of an Administrative Assistant in San Antonio, Texas. As part of the team, you will be instrumental in providing comprehensive support, ensuring efficient operations, and upholding high standards in all tasks.

Responsibilities:

• Handle general administrative and office support tasks for the team.

• Collaborate with various departments to ensure smooth onboarding processes for new employees.

• Be responsible for drafting internal memos, communications, and reports with precision and detail-oriented approach.

• Review, update, and maintain electronic employee personnel files and manage the records retention process.

• Act as the point of contact for departmental vendor relationships, including evaluating supply costs and reviewing vendor invoices for accuracy.

• Oversee business travel coordination, event planning, and expense reporting for the team.

• Foster detail-oriented relationships with both internal and external clients, representing the department effectively.

• Utilize Microsoft Suite and Workday for various tasks including data entry, email correspondence, and schedule management.

• Answer inbound and outbound calls, providing exceptional customer service.

• Manage travel arrangements and calendar, ensuring efficiency and organization.

Requirements • Minimum of 5 years of experience as an Administrative Assistant or in a similar role

• Proficient in answering inbound calls and handling both inbound and outbound calls

• Exceptional customer service skills, with a focus on professionalism and prompt response

• Demonstrable experience in data entry, with a high level of accuracy and attention to detail

• Able to manage email correspondence efficiently and professionally

• Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word

• Experience in scheduling appointments and managing calendars for multiple stakeholders

• Familiarity with arranging travel, including booking travel arrangements as needed

• Ability to manage complex calendar management tasks, including scheduling and rescheduling appointments

• Proficiency in using Workday for administrative tasks and functions TalentMatch®
