Aston Carter Office Administrator in San Diego, California

Job Title: Office AdministratorJob Description

Assist department manager and/or staff or small business unit in a variety of administrative requests. Examples are answering phones, photocopying, filing, mailing, shipping, and meeting coordination. Handles incoming and outgoing communication and mail, record keeping, bill paying, and document preparation, including collating, assembling, packaging, and shipping. Acts as a communications hub for their offices. Prioritizes workflow to handle multiple requests with frequent interruptions. Anticipates or recognizes problems and refers them quickly to the right person or department for resolution. Coordinates meeting preparations, notices, calendar scheduling, catering; set-up and clean-up. Orders office and hospitality supplies as needed. Maintains and schedules conference room schedules. Enters invoices into the system. Provides backup to various areas (i.e., receptionist, departments) as requested.

This is a Contract-to-Hire position with a duration of 6 Month(s).

Work Site

This is a fully on-site position in San Diego, California.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This position will be in the office Monday through Friday, and work hours are between 8-5pm with an hour for lunch. This is not a hybrid role as this position will be the sole Administrator, with support from the Admin team in the other offices in Southern California.
