Robert Half Receptionist in San Diego, California

Description We are seeking a Receptionist to join our team in the non-profit sector based in San Diego, California. This role involves serving as the first point of contact for our organization, providing administrative support across the organization, handling the flow of people through the business and ensuring that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Responsibilities:

• Fielding and transferring phone calls, sometimes taking messages or scheduling appointments

• Assisting in gathering information from the internet for various resources like housing and food banks

• Compiling a list of information for people calling in for resources or assistance

• Providing customer service, such as answering questions about the organization and its services

• Assisting in administrative tasks such as filing and labeling

• Performing data entry tasks and maintaining customer records

• Using Microsoft Office Suite (Word, Excel, Outlook) for producing necessary documents, reports, and presentations

• Organizing and scheduling appointments as needed

• Assisting the Executive Director with various tasks as needed

• Utilizing multi-line phone system for communication purposes

• Providing support to other teams or staff members as needed Requirements • Proficient in answering multi-line phone system

• Excellent customer service skills

• Experience in data entry tasks

• Ability to handle email correspondence efficiently

• Strong interpersonal skills

• Proficient in Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience in organizing files

• Ability to schedule appointments effectively

• Prior experience in a non-profit environment is preferred

• Receptionist experience is a plus

• Ability to comply with all company policies and regulations

• High school diploma or equivalent required

• Excellent written and verbal communication skills

• Ability to handle confidential information

• Ability to work independently and as part of a team

• Must be detail-oriented and organized

• Demonstrated ability to manage multiple tasks and deadlines

• Proactive in problem-solving and decision-making

• Flexibility to work in shifts if required
