What you will do:
Organizes and maintains policies and procedures for Cardiac Diagnostic, Cardiac Rehabilitation, Respiratory, Sleep Lab and Neurology services.
Facilitates interactions between Respiratory Services and Firelands administrative departments.
Types and maintains correspondence for Director. Accepts and screens telephone calls for Director or routes call appropriately.
Monitors and makes revisions to the daily Respiratory charges and other financial interactions.
Provides administrative assistance to the Director, including correspondence, filing, messages, statistical entries, maintenance of accreditation records, etc.
Provides administrative support and assistance to the Medical Director. Maintains monthly Medical Director Time Allocation Log.
Coordinates annual proficiency check-offs for all therapeutics.
Coordinates new employee orientation to completion.
Assists Respiratory Educator in arranging staff education and training programs.
Assembles reports, draw charts and prepares handouts and presentation materials as necessary.
Maintains and updates cardiac, respiratory, sleep and cardiopulmonary rehabilitation website page.
Maintains payroll records, vacation requests for Cardiac Diagnostic, Respiratory, Sleep Lab and Cardiopulmonary Rehabilitation.
Maintains departmental meeting minutes and communications for Cardiac Diagnostic, Respiratory, Cardiopulmonary Rehabilitation and Sleep Lab.
Maintains work schedule for Cardiac Diagnostic, Respiratory, Cardiopulmonary Rehabilitation and Sleep Lab.
Assists Pulmonologists and Cardiologists or other healthcare professionals as needed with administrative support functions as they pertain to the Cardiopulmonary Services.
Assists with data collection, charges, charge rejection, productivity/management/dashboard stats and analysis.
Assures communication between therapeutics, physicians and other healthcare professionals to foster continuity of care.
Maintains and orders adequate office supply inventory.
Assists to meet the overall operational requirements of the Cardiopulmonary Services.
Participates in department performance improvement activities as assigned and attends required training.
Maintains excellent verbal and written communication skills
Assures communication between shifts.
Arranges appointments, schedules, interviews and performs other duties related to maintaining the Director’s schedule.
Answers inquiries concerning activities and operations of the department by referring to and interpreting policies and procedures.
Opens, sorts, reviews and distributes mail and prepares responses to routine inquiries.
Demonstrates service excellence and ACE.
Completes special projects and performs other related duties, as assigned by the Director.
What you will need:
High school diploma or equivalent.
Must have at least 5 years secretarial/business experience in a hospital setting.
Must have demonstrated computer skills and competent in use of computer software governing word processing, data base and spreadsheets with attention to detail, initiative, and excellent communication skills; organizational and prioritization skills.
Ability to work in a safe and efficient manner and maintain an accident free work place, including ability to demonstrate a working knowledge of emergency codes.
Punctual attendance at assigned work location is required.
Ability to comply with OSHA regulations and CDC standard and transmission-based precaution recommendations and to utilize proper personal protective equipment. Ability to comply with provisions of applicable S.D.S. forms.
Successful completion of a ninety (90) day probationary period.
