Robert Half Receptionist in Santa Barbara, California

Description We are looking for a Receptionist to join our team in the Financial Services industry, located in Santa Barbara, California, 93101, United States. This position offers a contract to permanent employment opportunity. As a Receptionist, you will handle incoming calls, manage mail involving checks, deposit into brokerage accounts, print and send out checks, correct errors in orders, and perform monthly and quarterly duties. You will also be tasked with preparing paperwork for audits and providing excellent customer service.

Responsibilities:

• Handle incoming calls, screen and forward appropriately, providing information, taking messages, and scheduling appointments when necessary

• Greet and direct clients or guests, determining the nature and purpose of their visit

• Perform administrative tasks such as operating calculators or computers to work with records, invoices, balance sheets, and other documents

• Maintain and update appointment calendars, scheduling appointments as needed

• Analyze data to provide accurate responses to client inquiries

• Provide information about the office such as the location of departments or offices, employees within the organization, or services provided

• Keep the reception area and lobby tidy and presentable

• Manage mail that involves checks, deposit into brokerage accounts, print and send out checks, correct any errors in orders

• Organize files and maintain accurate records

• Use Microsoft Excel, Microsoft Outlook, and Microsoft Word for data entry and email correspondence. Requirements • Proven experience in answering multi-line phone systems efficiently and professionally.

• Demonstrated excellence in customer service, with the ability to handle client queries and complaints.

• Proficiency in data entry, with high accuracy and attention to detail.

• Experience in managing email correspondence, responding promptly and professionally to all incoming emails.

• Excellent interpersonal skills, with the ability to communicate effectively with colleagues and clients.

• Proficiency in Microsoft Excel, with the ability to create spreadsheets, charts, and formulas.

• Knowledge of Microsoft Outlook, with the ability to manage emails, calendars, contacts, and tasks.

• Proficiency in Microsoft Word, with the ability to create and edit documents.

• Experience in organizing files, ensuring information is easy to locate and up to date.
