Description
We are offering a short-term contract employment opportunity for a Facilities Coordinator in Santa Monica, California. As a Facilities Coordinator, you will play a pivotal role in managing a team of multi-skilled operatives, fostering strong relationships with key stakeholders, landlords, and facilities vendors, and ensuring all tasks and financial management requirements are completed accurately and promptly.
Responsibilities:
• Foster strong relationships with key stakeholders, partners, landlords, managing agents, and facilities vendors
• Oversee and provide support to a team of multi-skilled operatives, ensuring their performance meets the required standards
• Assist in the procurement of vendors and services as necessary
• Ensure accurate and prompt management of purchase orders in the internal financial management platform
• Contribute to the implementation of property risk management programs and industry best practice operations
• Regularly conduct site inspections, assessments, audits, and ensure safety and building procedures are adhered to
• Assist with monthly accrual reports and monitor finance trackers
• Maintain premises in a neat and functional condition at all times
• Support the implementation and monitoring of disaster recovery and business continuity plans
• Follow established escalation procedures and incident reporting procedures
• Provide support for regular management reports and projects as required
• Strive to achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets
Requirements • Proficient in Microsoft Excel, Microsoft Word, and Microsoft Outlook
• Experience with financial reporting and auditing
• Familiarity with operations and procedures within a facilities context
• Capability to perform ad hoc financial tasks
• Knowledge of procurement and purchase orders
• Experience in managing vendors and partners
• Ability to monitor facility conditions using appropriate tools
• Experience in the implementation of facility-related projects
• Understanding of property management principles
• Ability to engage effectively with stakeholders
• Experience with KPI reporting and target setting
• Understanding of risk management strategies and practices
• Familiarity with accrual accounting principles
• Experience in negotiating and managing agreements
• Understanding of safety guidelines within a facilities context
