As an administrative assistant, you'll welcome and assist in-person visitors, handle incoming phone calls, manage the office calendar, input data, and set up work stations for new hires. The administrative assistant reports to the administrative manager.

This position is part time and temporary with an anticipated 32 hours of work per week or less. Hourly pay for the role is between $20-30 per hour.

Responsibilities

  • Oversee general administrative needs including but not limited to shipping, office and breakroom supply orders, ordering/canceling office access cards, and keys, office maintenance and/or repairs.
  • Coordinate office events, schedule meetings, and run local errands for puget sound area offices.
  • Work with discipline leads and corporate teams to coordinate and set up office events, meetings, happy hours etc.
  • Receive, sort, and distribute daily office mail.
  • Maintain electronic and paper files, records, and reports.
  • Back-up answering calls on multi-line phone.
  • Assist with travel bookings, including airfare, hotel, and ground transportation as needed.
  • Support regional and corporate fleet managers by coordinating fleet vehicle deliveries, fleet parking needs, scheduling regular and emergency repairs & maintenance. Must be able to drive up to a full size pick-up trucks in the local fleet various maintenance appointments.
  • Assist with miscellaneous projects and tasks as requested by office colleagues.
  • Travel between three puget sound area offices (Seattle, Tacoma, Bellevue) for various projects and support.

Qualifications

  • High school diploma or equivalent.
  • Minimum two years of administrative support experience.
  • Must have a valid driver's license with a good driving record.
  • Proficiency in MS Office Suite: Word, Excel, PowerPoint, and Outlook software.
  • This office job primarily operates in a professional office environment and routinely requires the use of standard office equipment such as computers, phones, and copy machines. May occasionally be exposed to noise.
  • While performing the duties of this job, physical demands of the employee may include constant sitting, talking, hearing, repetitive motions and occasional standing, moving, reaching, handling, grasping, feeling, and coordination. This job will rarely require lifting, carrying, pushing, or pulling over to 35 lbs.
