The Department of Laboratory Medicine and Pathology has an outstanding opportunity for a Clinical Laboratory Coordinator .

REQUIRED POSITION QUALIFICATIONS PRIMARY JOB RESPONSIBILITIES Under general supervision, perform critical tasks related to Accessioning in Anatomic Pathology. Routine tasks include: specimen pickup from ORs and Lab Medicine; specimen receipt; specimen logging; EPIC registration for patients; accessioning internal and external specimens; monitoring expected specimens and initiating follow-up for missing or delayed specimens as necessary; ensuring all necessary documentation for specimen accessioning is received and recorded and obtaining additional documentation as necessary; monitoring and processing CARS requests related to additional materials for external specimens; communicating and upholding the standards for specimen receipt and accessioning with internal and external clients effectively and professionally; tracking and packaging materials for internal couriers and FedEx.Standards of Performance:

  • Receive specimens from outside the UW Medicine system, and use appropriate software to develop and maintain records related to the intake of these specimens. Maintain records and alerts of STAT, CANCELLATION, and HOLD requests in regards to patient specimen processing and triage specimens appropriately. (10%)

  • Retrieve specimens from designated locations that were collected in the hospital and UW Medicine clinics, track and log them appropriately, and resolve errors in documentation per defined error-correction process. (10%)

  • Use pathology programs to accession specimens accurately and prepare specimens for next stages in clinical care process. Ensure that cases are accessioned accurately and with appropriate codes and documentation within case. Register patients in EPIC as needed. (40%)

  • Monitor calls to the Accessioning and Gross Room areas and e-mails to the Path-Accessioners moderated list. Respond to all inquiries in a professional and appropriate manner, maintaining the standards and protocols of the department. Provide coverage for the main Pathology phone line as needed. (5%)

  • Process Clinical Admin Requests for additional materials in a timely and efficient manner. Maintain accurate logs of these requests. (10%)

  • Monitor the Expected List for AP specimens and initiate appropriate triage and follow-up for specimens identified as missing or delayed. Investigate and resolve when possible or escalate as needed. (10%)

  • Maintain accurate and consistent team communication, especially regarding work hand-offs and problem case resolution. (5%)

  • Act as subject matter expert for staff and physicians in other labs, departments, and external facilities regarding AP specimen submission, tracking, and accessioning standards and workflows. (5%) Perform other duties as assigned.
