The Dungeness River Nature Center seeks a friendly, organized, and detail-oriented Part-Time Administrative Assistant to join our team. This vital role supports the daily operations of the center, ensuring a welcoming and informative experience for all visitors. This position requires significant weekend availability.

Position Summary:

The Part-Time Administrative Assistant provides crucial support for the Dungeness River Nature Center, acting as the first point of contact for visitors, managing facility rentals, and assisting with audio-visual and technical needs. This role demands excellent interpersonal skills, strong organizational abilities, and the capacity to work both independently and collaboratively.

Essential Functions:

  • Act as the primary greeter for visitors, ensuring accurate visitor tracking and collecting contact information from willing participants.
  • Support the Operations Manager in organizing and streamlining rental procedures.
  • Answer the River Center's main phone line, providing information to the public and potential renters.
  • Prepare rental agreements, generate invoices, and track payments.
  • Draft and prepare various documents, including forms, memos, letters, and reports.
  • Maintain office supply inventory and coordinate with vendors to ensure adequate stock levels.
  • Assist with educational, administrative, and fundraising activities as needed.
  • Support the Executive Director and Operations Manager with physical and electronic file management and organization.
  • Provide support for Board and Committee meetings, including note-taking and preparing minutes.
  • Perform other duties as assigned.

Required Qualifications:

  • High School Diploma or equivalent.
  • Excellent organizational, interpersonal, and communication skills.
  • Exceptional customer service skills and a positive, welcoming demeanor.
  • Ability to take accurate notes and prepare meeting minutes with strong grammar and writing skills.
  • Sound judgment and problem-solving abilities, with the capacity to maintain a professional demeanor in all situations.
  • Ability to work most Saturdays (9:00 am - 5:00 pm) and Sundays (12:00 pm - 5:00 pm), with flexibility to cover some weekend evenings as needed. The position also requires one additional 7-hour workday, or two 3--4-hour workdays each week.
  • Ability to travel locally and regionally as required.
  • Valid Driver's License.
  • Successful completion of a criminal background investigation.
  • Effective time management, decision-making, and problem-solving skills.

Preferred Qualifications:

  • Knowledge of and appreciation for the natural and cultural history of the North Olympic Peninsula and the Pacific Northwest.
  • Background in first aid and emergency response.
  • Excellent organizational skills and the ability to prioritize multiple tasks effectively.
  • Competency in additional languages, particularly Klallam, Spanish, and French.
  • American Indian/Alaska Native preference applies.
