Job Description

This position is responsible for supporting the Human Resources Team as the administrative assistant to the department and administrative area of Saint Paul College. The incumbent will serve as the purchasing representative for the division. Perform work of considerable difficulty and responsibility and requires management of functions and information in a confidential, efficient, and organized manner. The incumbent uses independent decision-making skills and ensures that the areas of responsibility function in an organized and efficient manner.

Under limited supervision, the incumbent will be providing high-level professional and administrative functions with the Human Resources department to ensure that the requirements are met for personnel rules, regulations, laws, collective bargaining agreements and personnel plans. All employees of Saint Paul College are responsible for promoting a culture that supports diversity and inclusion in all forms as well as providing excellent customer service continuously to all internal and external contacts.

RESPONSIBILITIES

  • Serve as assistant to the Human Resources Team.

  • Assist HR Specialists in the recruitment and onboarding process for all positions.

  • Act as intake officer for labor grievances.

  • Under limited supervision, maintain/track budgets for DE&I and Human Resources and expenditures with multiple cost centers.

  • Work closely with HR and DEI staff members and all college employees to create an inclusive climate for College community.

  • Assist with the planning and execution of yearly events with appropriate DE&I and HR staff.

Minimum Qualifications

  • Ability to convey complicated information in an understandable manner as a resource for outside agencies, for clients, coworkers, and customers.

  • Skill in word processing sufficient to: Use software, such as Microsoft Word, to type and format letters, memos, reports, and minutes of meetings,etc.

  • Skill in word processing sufficient to: Prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors.

  • Ability to fluently communicate, read, understand, and respond to a variety of communications, such as customers’questions, requisitions, purchase orders, detailed instructions and procedures.

  • Skills sufficient to using spreadsheet applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data.

  • Ability to understand information sufficient to maintain complex records, files, notes, and logs.

Preferred Qualification

  • Bachelor's degree in related field.

  • Experience in higher education and/or Minnesota State system.

  • Previous experience with meeting and event planning.
