The department

The corporate team offers specialized services across Janus Henderson globally to support internal functions, advance the business and contribute to our overall mission and goals.

Overview of the role

This is an office administration role where you will gain valuable exposure to a number of different departments within the business. You will assist the Office Manager with day-to-day responsibilities and will be encouraged to work autonomously in doing so. You will also be responsible for administration co-ordination within the Risk & Compliance team, along with the Product & Research teams.

Duties and responsibilities

You will:

  • Be responsible for reception duties such as greeting external guests, providing refreshments, tiding meeting rooms and answering the reception phone line.

  • Maintain the kitchen / breakout area

  • Assist the EA to the Head of Australia & Office Manager, to include:

  • Diary management for the Head of Australia

  • Arrangements for any external & internal events

  • General office housekeeping / admin tasks

  • Maintaining office stationery by checking inventory and ordering items monthly

  • Understanding the T&E policy and assist staff with Concur related questions

  • Printing and binding of presentations

  • Collate information for itinerary during Portfolio Manager visits

  • Any staff travel bookings

  • Assisting the Head of Risk & Compliance, to include:

  • Scheduling board and committee meetings each quarter

  • Collation & distribution of board meeting papers

  • Registering and recording training attendance

  • Recording of minutes during board and committee meetings

  • Expense management for the Head of Fixed Interest, Australia

  • Responsible for tracking and maintaining training records using our compliance records and the online Kaplan portal, for auditing purposes

  • Carry out administrative duties such as filing, copying, binding and scanning

  • Assist staff in scheduling ad hoc meetings via Zoom, Microsoft Teams and/or Condeco

  • Upload documents through DocuSign for execution, as requested by each stakeholder

  • Administer and facilitate the completion of consultant data, as requested

  • Assisting the Distribution team and other members of the Australian team with tasks as the need arises

  • Your role may require you to interact with other JHI offices, employees and third parties based in different time zones, outside of core business hours, such as the UK, USA and Asia.

    Technical skills and qualifications

  • Previous experience in an office administration role

  • Minimum 2 years working experience within the financial services industry

  • Intermediate to advanced skills in the Microsoft suite of products

    Ongoing competence in the role to be assessed, in line with applicable regulatory requirements, by:

    Compliance requirements
