Minimum Qualifications:

Four years of experience working in a professional office environment performing administrative functions.

An associates’ degree from an accredited college or university and two years of administrative experience; or a bachelor's degree from an accredited college or university can substitute for the required experience.

Requirements:

  • Employment in this position is contingent upon a satisfactory criminal history check in accordance with Chapter 435, Florida Statutes.

  • Computer proficiency to include Microsoft Office Word, Excel, Outlook and Adobe Acrobat,

  • Office hours are from 8:00 A.M. to 5:00 P.M. Eastern Time, Monday through Friday. Not eligible for Telework.

  • Must possess and maintain a valid driver’s license.

  • Responses to qualifying questions should be verifiable by skills and/or experience stated on the profile application/resume. Information should be provided regarding any gaps in employment.

    Position Overview and Responsibilities:

  • Schedules meetings and travel for Division Director and occasionally for other Division staff. Coordinates meeting arrangements for Division Director with Division staff and with staff from other Divisions within FWC and with other non-FWC entities.

  • Consistently monitors Division Director’s calendar to look for schedule conflicts, so that schedules might be rearranged according to Division priorities, as needed.

  • Serves as lead administrative assistant for DMFM.

  • Identifies opportunities and makes recommendations for enhancing DMFM support functions.

  • Maintains and organizes electronic and paper files.

  • Assists in editing and formatting outgoing correspondence.

  • Serves as office manager with other DMFM administrative staff to ensure efficient communication, reconciliation of problems, and advises staff on policies and procedures related to correspondence preparation and routing, etc.

  • Coordinates and tracks Division training needs.

  • Coordinates staff assignments for Division Director and Deputy Director and reminds staff of deadlines for completion of assignments.

  • Other related duties as requested.

    Knowledge, Skills and Abilities:

  • Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to improvement of management practices.

  • Ability to organize data into logical format for presentation in reports, documents, and other materials.

  • Proficient in appropriate software including Microsoft Word, Excel, Outlook, and Adobe Acrobat.

  • Ability to conduct fact-finding research.

  • Ability to utilize problem-solving techniques.

  • Ability to plan, organize and coordinate work assignments.

  • Ability to communicate effectively verbally and in writing.

  • Ability to establish and maintain effective working relationships with others.

  • Knowledge of agency procedures, practices, and policies-regarding procurement, accounting, property, and personnel.
