Job Description Summary

We are seeking a highly organized and detail-oriented Procurement Coordinator to support and manage procurement processes across our client’s West Coast locations. This role ensures timely and compliant creation of purchase orders services per site needs, service contracts support, maintaining vendor relationships, supporting with tracking budgets, and ensuring compliance with company Corporate policies. The ideal candidate will have strong analytical skills, excellent communication abilities, and experience with procurement software such as Yardi or similar platforms.

Job Description

Key Responsibilities:

  • Purchase Order Management:

  • Accurately create purchase orders based on requestor-provided documentation, verifying all PO requirements are met.

  • Assist site teams (purchase requesters) with PO management, conducting weekly meetings to reinforce best practices and compliance.

  • Work closely with vendors and site teams to ensure timely and accurate invoice submission.

  • Provide internal audit prep assistance

  • Build relationships with internal stakeholders and provide guidance on PO compliance

  • Service Contract Management:

  • Manage all recurring service contracts, ensuring purchase orders are created in advance, accurately, and properly communicated to vendors.

  • Maintain up-to-date knowledge of all current contracts PO’s and ensure they align with procurement policies.

  • Collaborate with the sourcing/procurement team to confirm contracts and services are current and meet business needs.

  • Invoice & Accounts Payable Coordination:

  • Work with Accounts Payable and vendors to facilitate proper invoice processing and rectification.

  • Ensure invoice discrepancies are resolved efficiently to prevent payment delays.

  • Financial Data Analysis:

  • Utilize advanced Excel functions (VLOOKUP, pivot tables, and formulas) to analyze procurement data and support FM’s tracking financial performance.

  • Extract data from P2P system and create and maintain detailed spreadsheets to monitor spend, and assist with meeting KPI metrics.

This role is supporting a client on the West Coast (8am-4:30pm PST)

Preferred Qualifications:

  • Expertise in advanced Excel functions, including VLOOKUP, pivot tables, data analysis, formulas, and reporting.

  • Strong attention to detail and ability to manage multiple priorities.

  • Proficiency in procurement software and Microsoft Office Suite (Excel, Word, Outlook).

  • Strong analytical and problem-solving skills with a data driven and compliance mindset.

  • Familiarity with Yardi, SAP, Oracle, or similar ERP systems.

  • At least 3 years of experience in real estate procurement, budgeting, forecasting; financial reporting in procurement a plus.

  • Proven ability to build and maintain strong relationships with internal & external stakeholders with excellent communication skills with all levels of management.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $27.00 - $29.00
