Citizens Personal Financial Management Assistant in Tarrytown, New York

As the Personal Financial Management Assistant (PFMA), you will be responsible for administrative and clerical support to the Personal Financial Management Advisors and the department. The department handles all personal bill paying and concierge Family Office services to high net worth and/or ultra-high net worth clients. The PFMA is responsible for handling confidential and time sensitive material that includes tasks such as monitoring client correspondence (emails and mail), downloading and preparing bills for payment, and record maintenance. Position requires excellent organizational skills, and the ability to handle multiple tasks simultaneously. Execute routine tasks, such as filing, scanning, and sorting mail.
Primary Responsibilities
Review daily alerts and forward to the appropriate advisor.
Review and scan incoming mail and place in appropriate client folder.
Verification of all invoices received for each client.
Prepare each client for bill pay services by downloading invoices.
Dropping all completed documents, and folders into our retention software SAFE.
Contact vendors directly for questions or billing disputes.
Take direction from Advisors for assistance in problem solving.
Manage Outlook calendar for payment schedules.
Download client credit card activity in QuickBooks.
Filing, data entry.
Ordering of supplies/equipment.
Qualifications, Education, Certifications and/or Other Professional Credentials
Must possess and display excellent organizational and communication skills.
Ability to convey information and keep Advisors informed in a focused and concise manner.
Need to have the ability to multi-task and handle competing priorities.
Strong attention to detail.
Heavy follow-up and monitoring of time sensitive issues.
Solid math skills, Excel, Outlook and QuickBooks. On-line banking experience preferred.
The ability to work with minimal supervision as well as a team player.
2+years of accounts payable/bookkeeping/clerical experience preferred
Associate or greater degree preferred
Hours & Work Schedule
Hours per Week: 40 (Some overtime may be required)
Work Schedule: M-F (8:30 AM-5:30 PM)
Pay Transparency
The salary range for this position is $27-$31 per hour. Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
